> ## Agent Instructions
> These docs describe Every as customers have it today. Answer from them, and say so when they don't cover a question.
> Pages under /admins/ are for the people who run Every for the company, and pages under /employees/ are for employees. Answer from the pages that match the person asking.
> Each page's Agent reference section lists its exact roles, conditions and limits. Prefer it for those details.
> When a page says a feature is in closed beta, or that Every turns it on company by company, don't promise that the person's company has it.
> Use roles and on-screen labels exactly as the pages write them.
> When someone asks what a term means, answer with the Glossary page's definition (/glossary), which other pages show in parentheses after the term.

# Budgets

> Create recurring or one-time budgets, choose which card spending counts, track actuals against each budget and edit or delete budgets you own.

![Budgets card with one budget's spending bar and a marker for the elapsed period.](https://mintcdn.com/every-a2724ddc/k5maP8xPODHl5ToY/images/illustrations/admins-accounting-budgets-light.png?fit=max\&auto=format\&n=k5maP8xPODHl5ToY\&q=85\&s=78ac4dd1b44c74e6c99ccfe76d0d50a1)

**Accounting** → **Budgets** tracks spending against a cap. A spending budget doesn't set a card's spend limit.

Company Admins and Bookkeepers manage all company budgets. Other company members can create budgets and manage the ones they own.

The sidebar shows **Budgets** after your company finishes onboarding. Employees see their own cards' assignments on [My cards](https://every-a2724ddc.mintlify.site/employees/my-cards.md) and transaction tags on [My transactions](https://every-a2724ddc.mintlify.site/employees/my-transactions.md).

> [!NOTE]
>
> Every turns on spending budgets company by company. If you don't see them, email [support@every.io](mailto:support@every.io) to ask about them.

## Create a budget

**1. Open the form**

Select **Create budget**, or press **C**.

**2. Name the budget**

Under **Details**, enter a **Name**. Optional: add a **Description**.

**3. Set the cap**

Under **Budget**, enter a **Cap amount (USD)** greater than zero.

**4. Choose a schedule**

Under **Schedule**, choose **One-time** with a **Start date** and **End date**, or **Recurring** with a **Start date** and a **Frequency** of **Monthly**, **Quarterly** or **Annually**.

**5. Choose what the budget covers**

Optional: under **Organization**, add **Owners**, **Cards** and **Every categories**. With your accounting software connected, add rules under **QuickBooks accounts**.

**6. Add notifications**

Optional: under **Notifications**, select **Add notification** and enter a whole-number percentage from 1 to 100.

**7. Save the budget**

Select **Create budget**. You're added to the budget's **Owners**, along with the people you chose.

Recurring budgets follow calendar months, quarters or years. The first period starts on the date you choose. A one-time budget includes its end date.

![The Create budget sheet with name, description, cap amount and schedule options over the Budgets list.](https://mintcdn.com/every-a2724ddc/6k1svT9aHzVFwBZW/images/screens/admins-accounting-budgets-create-light.png?fit=max\&auto=format\&n=6k1svT9aHzVFwBZW\&q=85\&s=94633a85e144b803f2b85b57506b2e91)

## Choose which spending counts

New spending on assigned cards is tagged to the budget. Card spending in your chosen **Every categories** also counts.

A card can belong to one budget. In a budget's sheet, adding a card assigned to another budget you can access asks you to confirm **Move card**. You need access to both budgets to move it.

Changing cards or category rules doesn't retag existing transactions. To change the budget on one of your own transactions, open it on [My transactions](https://every-a2724ddc.mintlify.site/employees/my-transactions.md) and choose its **Budget**.

## Track a budget

**Active** holds budgets whose end date hasn't passed and budgets with no end date. **Past** holds the rest. Select a budget to open it:

* **Overview** breaks the period's spending down by category, person and card.
* **Actuals** lists the 100 most recent tagged transactions, including those outside the current period.

![A budget's Overview with its spending against the cap and breakdowns by category, person and card.](https://mintcdn.com/every-a2724ddc/6k1svT9aHzVFwBZW/images/screens/admins-accounting-budgets-detail-light.png?fit=max\&auto=format\&n=6k1svT9aHzVFwBZW\&q=85\&s=122f34fc921e0b057e12e3bdf5343c02)

On **Actuals**, search by merchant or filter by method, status, direction or card type. Select **Download CSV** to export the filtered rows. To export only some rows, select them, then select the download button that shows how many you selected. Both downloads cover the transactions loaded on the page.

You can change a transaction's **Category** on **Actuals** without changing its budget tag.

## Edit a budget

**1. Open the editor**

Open the budget and select **Edit budget**.

**2. Make your changes**

Change its name, description, cap, owners, cards, categories or notifications.

**3. Save the budget**

Select **Save changes**.

A budget needs at least one owner. Its type and schedule are fixed after creation.

## Delete a budget

> [!WARNING]
>
> Deleting a budget is permanent. Transactions keep their existing tags, and assigned cards are released, so move any cards you want to keep budgeted first.

In the budget's row menu, select **Delete budget**, then confirm with **Delete budget**.

## Budget statuses

Budgets show **On track**, **At risk**, **Over budget** or **Unknown**.

## Agent reference

**Where:** **Accounting** → **Budgets**. Select a budget's row to open its **Overview** and **Actuals** tabs. The sidebar shows **Budgets** after company onboarding. Every turns on spending budgets company by company.

**Who:** Company Admins and Bookkeepers can see and manage all budgets in their company. Other company members can create budgets and see, edit or delete budgets they own. The creator becomes an owner.

### Facts

* **Accounting** → **Budgets** lists **Name**, **Owners**, **Total budget**, **Utilization**, **Status**, **Type** and **Assigned cards**.
* The **Active** tab on **Accounting** → **Budgets** includes a budget through its end date. The **Past** tab holds budgets whose end date has passed. A budget with no end date stays on **Active**.
* On **Accounting** → **Budgets**, select **Create budget** or press **C** to open creation.
* **Create budget** requires a nonempty **Name** and a **Cap amount (USD)** greater than zero. **Description** is optional.
* On **Create budget**, **One-time** requires **Start date** and **End date**. **Recurring** requires **Start date** and a **Frequency** of **Monthly**, **Quarterly** or **Annually**.
* Recurring spending budgets follow calendar months, quarters or years. The first period starts on the chosen start date. One-time budgets count spending through the end date.
* A spending budget that has not started has zero period spending. Its tagged transactions can still appear on **Actuals**.
* On the **Create budget** sheet on **Accounting** → **Budgets**, select **Create budget** to save. Every adds the creator to **Owners**, even when the creator was not selected in the picker.
* A spending budget's **Owners** must be members of the company. Select **Add owners** to choose people. An edited budget must retain at least one owner.
* On a budget's **Create budget** or **Edit budget** sheet, use **Add cards** under **Cards** to assign cards. A card can belong to one spending budget.
* On a budget's sheet on **Accounting** → **Budgets**, adding a card already assigned to another visible budget opens **Move this card?**. Select **Move card** to add the card to the form. Moving a card requires permission to manage both its current and destination budgets.
* Card assignments on a spending budget apply to future card transactions. Changing a card assignment or category rule does not retag existing transactions.
* **Every categories** rules on a spending budget tag card transactions in those categories. ACH, wire and other non-card transactions use a manual tag or the budget chosen when requesting the payment.
* A connection to your accounting software enables **Add QuickBooks accounts** under **QuickBooks accounts**. Saved QuickBooks rules remain listed and removable after disconnection.
* Assigning a spending budget to a card does not set the card's spend limit.
* Moving or removing a transaction's budget tag requires access to its current budget. Assigning a tag also requires access to the destination budget.
* A transaction tagged to a deleted spending budget keeps that tag. An authorized owner can still move or clear the tag, but a deleted budget cannot be chosen as a new destination.
* On a budget's sheet, **Notifications** → **Add notification** adds a percentage threshold for budget utilization. Each percentage must be a whole number from 1 to 100.
* **Overview** on a spending budget shows **Spend by category**, **Spend by person** and **Spend by card**. The period spending total sums debits tagged to the budget within its current period.
* **Over budget** on **Accounting** → **Budgets** means period spending is greater than the cap. Spending equal to the cap is not **Over budget**.
* **Unknown** on **Accounting** → **Budgets** means Every couldn't work out the budget's spending. **Unknown** isn't the same as zero spending.
* **Actuals** on a spending budget lists tagged transactions from its history, newest first. **Actuals** loads the 100 most recent transactions, including transactions outside the current budget period.
* On a budget's **Actuals**, search matches merchant names. Filters are **Method**, **Status**, **Direction** and **Card type**. The **Status** choices are **Completed** and **Missing information**.
* **Download CSV** on a budget's **Actuals** exports the loaded rows matching the search and filters. Selecting rows shows a download button with the number of rows selected, which exports only those rows. The notice below the table identifies when older transactions were not loaded; neither download includes those older transactions.
* A person who can manage a spending budget can change the **Category** of a transaction already tagged to it on **Actuals**. This changes the category, not the budget tag.
* An **Actuals** transaction without its accounting details yet cannot be recategorized. Every shows "This transaction cannot be categorized yet".
* On a budget's detail page, select **Edit budget** to change its name, description, cap, owners, cards, categories or notifications, then select **Save changes**. The type, dates and recurrence cannot change after creation.
* On **Accounting** → **Budgets**, the row menu has **Edit budget** and **Delete budget**. **Delete budget** opens a confirmation; select **Delete budget** again to finish.
* Deleting a spending budget removes the budget from the list and releases its card assignments. Previously tagged transactions keep their tags. Deleting a budget cannot be undone.
* A person without the Company Admin or Bookkeeper role who opens a budget they don't own sees "You don't have access to this budget". Ask an owner to add the person.
* An employee's card budget assignments are visible on **My cards**. An employee's transaction budget tags are visible on **My transactions**. The Employee role alone does not grant permission to change another budget's assignments.

### Questions people ask

* **Who can see all company budgets?** Company Admins and Bookkeepers can see and manage all company budgets on **Accounting** → **Budgets**. Other company members see the budgets they own.
* **Can an employee create a budget?** Yes. A company member can create a spending budget once Every has enabled spending budgets for the company, and the creator becomes an owner.
* **Why can't I open a budget?** A company member without the Company Admin or Bookkeeper role must be an owner of that budget. Ask an owner to add you.
* **Does the cap set a card spend limit?** No. Assigning a spending budget to a card does not set the card's spend limit. The cap is used to track spending and calculate the budget's status.
* **Does moving a card move its old spending?** No. Existing transaction tags stay on their original budgets when a card moves to another spending budget.
* **Can I change a budget from one-time to recurring?** No. The type and schedule of a spending budget are fixed after creation.
* **Why is a transaction on Actuals but missing from Overview?** **Actuals** shows tagged transaction history, while **Overview** sums debits within the budget's current period.
* **Does Download CSV include the full budget history?** No. **Download CSV** exports the loaded rows matching the search and filters, from the 100 most recent transactions. Older transactions outside that loaded set are not included.
* **Does changing an Actuals category move the transaction to another budget?** No. Changing **Category** on **Actuals** leaves its budget tag unchanged.
* **Can I delete a budget without deleting its transactions?** Yes. Deleting a spending budget keeps transaction tags and releases assigned cards. The budget deletion cannot be undone.
