> ## Agent Instructions
> These docs describe Every as customers have it today. Answer from them, and say so when they don't cover a question.
> Pages under /admins/ are for the people who run Every for the company, and pages under /employees/ are for employees. Answer from the pages that match the person asking.
> Each page's Agent reference section lists its exact roles, conditions and limits. Prefer it for those details.
> When a page says a feature is in closed beta, or that Every turns it on company by company, don't promise that the person's company has it.
> Use roles and on-screen labels exactly as the pages write them.
> When someone asks what a term means, answer with the Glossary page's definition (/glossary), which other pages show in parentheses after the term.
> When the docs don't answer a question, tell the person to email [support@every.io](mailto:support@every.io).

# Company cards

> Create, share, freeze and close company cards, set spend limits and spending controls, and get help with declined, lost or suspected fraud cards.

![The Cards page, listing three company cards, each with its card face.](https://mintcdn.com/every-a2724ddc/k5maP8xPODHl5ToY/images/illustrations/admins-banking-cards-light.png?fit=max\&auto=format\&n=k5maP8xPODHl5ToY\&q=85\&s=36c715e91c4364c5f68b7a7f92ebae83)

**Banking** → **Company cards** lists the cards issued on your company's account: who holds each one, which account it draws on and its status. If your **Banking** menu has no **Credit card** item, the sidebar calls this page **Cards**.

Company Admins and Bookkeepers manage cards after your company finishes onboarding. Each employee sees their own on **My cards** (see [My cards](https://every-a2724ddc.mintlify.site/employees/my-cards.md)).

## See your company's cards

The list shows each card's name, number, cardholder, account, type, sharing and status. Closed cards are hidden. To see them, select **Display** and turn on **Show closed cards**.

![The Cards page, listing the company's cards with their numbers, cardholders, type and status.](https://mintcdn.com/every-a2724ddc/qvvudeZxc26V6Klz/images/screens/admins-banking-cards-light.png?fit=max\&auto=format\&n=qvvudeZxc26V6Klz\&q=85\&s=782114f79fdc225aee4aa47b7a060af6)

If a physical card has been sent to you and isn't active yet, **Your new card is on the way** shows at the top of the page. Select **Activate card** once it arrives.

## Create a card

Only Company Admins see **Create card**. Select it, then fill in the **Create a new card** sheet:

**1. Name the card**

Enter a **Card name**, such as the team or what the card is for.

**2. Choose credit or debit**

Under **Choose a card**, choose **Credit card** or **Debit card**. You see **Choose a card** only if the sidebar says **Company cards**. **Credit card** can be chosen once your company's credit account is open. Before that, it shows how to apply or where your [credit application](https://every-a2724ddc.mintlify.site/admins/banking/credit-card.md) stands.

**3. Choose virtual or physical**

Under **Card type**, choose **Virtual** or **Physical**.

**4. Set a spend limit**

Optional: turn on **Spend limit**, choose a **Period** and enter the amount.

**5. Choose the card owner**

Choose the **Card owner**: the person the card is issued to.

**6. Choose who can use the card**

Under **Shared card**, choose **Card owner** to keep the card to one person, or **Shared with multiple people** and select who else can use it. People you share with get access to the card details but can't change its settings.

**7. Add accounting defaults**

Optional: if **Accounting settings** appears, choose a **Default account** and **Default department** for QuickBooks.

**8. Enter the shipping address**

For a physical card, enter the **Shipping Address**.

**9. Create the card**

Select **Create card**.

A card for someone who hasn't finished onboarding shows Pending registration until they finish.

## Manage a card

Select a card to open it. The buttons under the card depend on its status and your role:

| Button | What it does |
| - | - |
| **View info** | Shows the full card number and CVV (Card verification value: the security code used to help verify a payment card during online or phone purchases) of an active card |
| **Freeze** / **Unfreeze** | Pauses the card until you unfreeze it |
| **Set pin** / **Update pin** | Sets the PIN for an active debit card. Only the cardholder sees this |
| **Deactivate** | Closes the card permanently. Enter **DEACTIVATE**, then select **Deactivate card**. A deactivated card can't be used or reactivated |

An active virtual card issued to you can be added to Apple or Google Pay on your phone for purchases in stores. To ask how, email [support@every.io](mailto:support@every.io).

Below the buttons, the **Details** tab shows what's been spent against the card's limit, its billing address and the cardholder. Credit cards also show your credit account's available credit.

Under **Settings** you can change the **Spend limit** and **Card name**, then select **Save**. If **Spending Budget** appears, you can assign the card to a budget: under **Spending budget for this card**, choose the budget (see [Budgets](https://every-a2724ddc.mintlify.site/admins/accounting/budgets.md)).

To share a card, open **Share card** on the **Details** tab:

**1. Choose sharing**

Choose **Shared with multiple people**.

**2. Add people**

Select **Add new**.

**3. Choose the people**

In **Share card with**, select the people to share with.

**4. Share the card**

Select the button that counts the people, such as "Share with 2 users".

To remove someone's access:

1. In **Share card**, point at their row and select the X.
2. Select **Remove access**.

![A frozen card's sheet on the Cards page, with Unfreeze and Deactivate, and its Details and Spending Controls tabs.](https://mintcdn.com/every-a2724ddc/qvvudeZxc26V6Klz/images/screens/admins-banking-cards-card-light.png?fit=max\&auto=format\&n=qvvudeZxc26V6Klz\&q=85\&s=37cca9ed582f93fa332f35ff56333e91)

## Set spending controls

> [!NOTE]
>
> Every turns on spending controls company by company. If you don't see them, email [support@every.io](mailto:support@every.io) to ask about them.

With spending controls, a card has a **Spending Controls** tab, and its spend limit moves there from **Settings**.

**1. Open spending controls**

Open the card and select **Spending Controls**.

**2. Choose the rule**

For **Merchant**, **Category** or **MCC** (merchant category code), choose **Allow** or **Block**, or leave it **Off**.

**3. Add what the rule covers**

For **Allow** or **Block**, add the merchants, categories or codes the rule covers.

**4. Save**

Select **Save**.

New rules can take a little while to apply after you save.

With spending controls, when you create a debit card, **Period** also offers **One time**, a total the card can spend before it freezes permanently. You can't change a one-time limit after the card's first transaction.

![A card's Spending Controls tab with its spend limit and Merchant, Category and MCC rules.](https://mintcdn.com/every-a2724ddc/19nP2pdcB7HMtcYU/images/screens/admins-banking-cards-controls-light.png?fit=max\&auto=format\&n=19nP2pdcB7HMtcYU\&q=85\&s=6f7fe602c720b45ca024ba22c92378a0)

## Get help with a card

If a purchase is declined, go to **Banking** → **Transactions**, open the purchase and look for **Decline reason** (see [Transactions](https://every-a2724ddc.mintlify.site/admins/banking/transactions.md)). Check the card's status and spend limit on this page. If the reason doesn't explain what to do, email [support@every.io](mailto:support@every.io) and include the merchant, amount, date and message shown.

If a card is lost or stolen, or a charge looks unfamiliar, open the card. If it is active, select **Freeze**. Email [support@every.io](mailto:support@every.io) to report it, ask about a replacement or get help with the charge. Include the card's last digits and, for a charge, its merchant, amount and date.

For a card marked **Suspected Fraud**, the sheet says "This card is blocked to protect you due to suspected fraudulent activity." Email [support@every.io](mailto:support@every.io) to ask what to do next.

If a link about a suspected fraudulent card transaction says "This link has expired" or "We couldn't save your response", email [support@every.io](mailto:support@every.io) for help or a new link.
