> ## Agent Instructions
> These docs describe Every as customers have it today. Answer from them, and say so when they don't cover a question.
> Pages under /admins/ are for the people who run Every for the company, and pages under /employees/ are for employees. Answer from the pages that match the person asking.
> Each page's Agent reference section lists its exact roles, conditions and limits. Prefer it for those details.
> When a page says a feature is in closed beta, or that Every turns it on company by company, don't promise that the person's company has it.
> Use roles and on-screen labels exactly as the pages write them.
> When someone asks what a term means, answer with the Glossary page's definition (/glossary), which other pages show in parentheses after the term.
> When the docs don't answer a question, tell the person to email [support@every.io](mailto:support@every.io).

# Transactions

> Review, categorize and download your company's transactions, and add their receipts

![Transactions table listing three transactions, each with its category and receipt icon.](https://mintcdn.com/every-a2724ddc/k5maP8xPODHl5ToY/images/illustrations/admins-banking-transactions-light.png?fit=max\&auto=format\&n=k5maP8xPODHl5ToY\&q=85\&s=f15b89a13abd61dab0f748c649a9570f)

**Banking** → **Transactions** shows what went in and out of your company's Every accounts and cards, with each one's category and receipt.

Company Admins and Bookkeepers review them after your company finishes onboarding. Each employee sees their own on **My transactions** (see [My transactions](https://every-a2724ddc.mintlify.site/employees/my-transactions.md)).

## Find a transaction

Each row shows a transaction's date, who it was to or from, balance, payment method, account, category, receipt, status and amount.

Select **Filter** to narrow the list by account, card, who it was to or from, payment method, date, amount, direction or status. Under **Status**, **Missing information** shows the transactions that still need a receipt.

Each page lists 50 transactions. **Status**, and any filter set to **is not**, narrow only the page you're on, so the count at the bottom of the list then says "matching items on this page".

## Change a category

In a transaction's row, select a new **Category**, or right-click the row and select **Change category**. To change several at once, select their rows, then select **Assign category** and a category.

Payroll transactions can't be recategorized.

## Open a transaction

Select a transaction to open its details, such as its card, payment status and account.

The details also show a **Decline reason** for a card purchase or a **Failure reason** for a failed payment when that information is available. An ACH payment can show a **Trace number**; a wire can show **IMAD** and **OMAD**.

For a payment that hasn't arrived, a returned payment or a card charge you don't recognize, email [support@every.io](mailto:support@every.io). Include the transaction's date, amount and recipient or merchant, plus the reason and identifiers shown in its details. For an unrecognized card charge, you can also freeze the card while you ask for help (see [Company cards](https://every-a2724ddc.mintlify.site/admins/banking/cards.md#get-help-with-a-card)).

## Add a receipt

A completed card purchase that needs a receipt shows **Missing receipt** in **Status**, and its details show **Missing information**.

**1. Open the transaction**

In the **Receipt** column, select the upload icon, or select the row.

**2. Add the receipt**

Under **Receipt**, add a PDF or image.

**3. Describe the purchase**

In the description field, enter what the purchase was for.

**4. Save**

If the details show a **Save** button, select it. If not, Every saves the receipt when you add it, and the description when you close the details.

When a transaction already has a receipt, its details list the file. The three-dot button beside it downloads the file, or opens a menu with **Download**, **Replace** and **Remove**.

## See accounting details

> [!NOTE]
>
> Every turns on accounting details company by company. If you don't see them, email [support@every.io](mailto:support@every.io) to ask about them.

With QuickBooks connected, the details of some transactions also show **Accounting details**: the QuickBooks vendor, category and sync status.

## Download transactions

1. Select **Download**, then **Download CSV**.
2. Select **Generate report**.

Every emails you a link to the report when it's ready. The report follows your filters, except **Status** and any filter set to **is not**.

The same menu has your **Bank letter** and, when your company has them, **Wire instructions** and statements.

## Agent reference

**Where:** **Banking** → **Transactions** in the sidebar. The page is titled **Transactions**. The sidebar item is named **Transactions** whether or not the **Banking** menu has a **Credit card** item.

**Who:** Company Admins and Bookkeepers, after the company finishes onboarding. Anyone without one of those two roles can't open the page.

### Facts

* On **Banking** → **Transactions**, Company Admins and Bookkeepers search and review the company's bank-account and card transactions, change their categories, add receipts and download reports.
* The **Banking** item shows in the sidebar to Company Admins and Bookkeepers only, and only after the company finishes onboarding.
* Each transaction on **Banking** → **Transactions** is a credit (money in) or a debit (money out). The **Direction** filter offers **Credit** and **Debit**.
* The list on **Banking** → **Transactions** shows these columns by default: **Date**, **To/From**, **Balance**, **Payment method**, **Account**, **Category**, **Receipt**, **Status** and **Amount**.
* On **Banking** → **Transactions**, select **Filter** to narrow the list by **Account**, **Search by card**, **Search by To/From**, **Payment Method**, date (**From** and **To**), amount (**Min** and **Max**), **Direction** or **Status**.
* The **Account** filter on **Banking** → **Transactions** is in the **Filter** menu only when the company has a checking account or a credit account to choose from.
* A filter on **Banking** → **Transactions** can be set to **is not**.
* **Banking** → **Transactions** lists 50 transactions a page.
* On **Banking** → **Transactions**, the **Status** filter and any filter set to **is not** narrow only the page you're on. The count at the bottom of the list then reads "matching items on this page".
* The **Status** filter on **Banking** → **Transactions** has two values: **Completed** and **Missing information**.
* Under **Status** on **Banking** → **Transactions**, **Missing information** shows the transactions that take a receipt, need one and have none attached.
* The **Status** column on **Banking** → **Transactions** shows **Missing receipt** for a completed card payment that can take a receipt, has none attached and whose receipt is required. A transaction whose status isn't completed shows that status instead.
* For checking and credit-card spending on **Banking** → **Transactions**, the company sets the receipt threshold in **Require receipt upload**, under **Policies** on **Settings** → **Accounting** (see [Accounting settings](https://every-a2724ddc.mintlify.site/admins/settings/accounting.md)).
* A transaction's details on **Banking** → **Transactions** show **Missing information** when the transaction can take a receipt and has none attached.
* On **Banking** → **Transactions**, a transaction's category changes in its row's **Category** cell, or from **Change category** in the menu that opens when you right-click the row. **Change category** lists the categories to choose from.
* On **Banking** → **Transactions**, rows can be selected. Selected rows bring up an action bar with **Assign category**, which opens a dialog titled **Assign category**. Choosing a category in the dialog applies it to the selected transactions.
* Payroll transactions on **Banking** → **Transactions** can't be recategorized. A payroll row's **Category** cell shows "Payroll" and has no picker.
* Selecting a transaction's row on **Banking** → **Transactions** opens its details. The details open on the amount, then give who the transaction was to or from and its date. They include rows such as **Card**, **Payment type**, **Payment status** and **Account**.
* A transaction's details on **Banking** → **Transactions** show **Decline reason** for a card payment when a decline reason is available.
* An ACH transaction's details on **Banking** → **Transactions** show **Trace number** when available. A wire's details show **IMAD** when available, with **OMAD** when available alongside **IMAD**.
* A transaction's details on **Banking** → **Transactions** show **Failure reason** when a failure message is available.
* Where Every has turned on failure reasons for the company, a rejected or returned transaction on **Banking** → **Transactions** with no specific reason shows "This payment couldn't be completed due to a processing issue. Contact support if you need help." under **Failure reason**. To ask for help, email [support@every.io](mailto:support@every.io).
* A row in the **Receipt** column on **Banking** → **Transactions** shows an upload icon labeled **Upload receipt** when the transaction can take a receipt and has none. Once a receipt is attached, the icon is labeled **View receipt**. A row that can't take a receipt shows no icon. Selecting the icon opens the transaction's sheet.
* The sheet for a transaction on **Banking** → **Transactions** has a **Receipt** section with the upload. The receipt file is a PDF or an image: PDF, JPG, JPEG, PNG or GIF.
* The sheet's description field on **Banking** → **Transactions** asks you to briefly describe what the purchase is for, and its placeholder is **Enter a description**. The field is labeled **What is this purchase for?** or **What is the purchase for?**, depending on the sheet.
* On **Banking** → **Transactions**, when a transaction's sheet has a **Save** button, which shows while the receipt is missing, select **Save** to save the receipt and the description.
* On **Banking** → **Transactions**, when a transaction's sheet has no **Save** button, Every saves the receipt as soon as the file is added, and the description when the sheet closes.
* On **Banking** → **Transactions**, the three-dot button beside an attached receipt in a transaction's sheet downloads it, or opens a menu with **Download**, **Replace** and **Remove**.
* When Every has turned on **Accounting details** for the company and QuickBooks is connected, the sheet for some transactions on **Banking** → **Transactions** shows **Accounting details**, with **Quickbooks vendor**, **Quickbooks category** and **Sync status**.
* **Accounting details** on **Banking** → **Transactions** also has a **Quickbooks department** field when the company's QuickBooks has classes to choose from.
* The **Sync status** card in **Accounting details** on **Banking** → **Transactions** has a **Sync** button. Once the transaction has synced to QuickBooks, the button reads **Resync**.
* Every turns on **Accounting details** company by company.
* The **Download** button on **Banking** → **Transactions** opens a menu. **Download CSV** opens a dialog, and selecting **Generate report** in it sends the report. Every emails the signed-in user a link to the report when it's ready.
* The CSV report from **Banking** → **Transactions** follows the list's filters, except **Status** and any filter set to **is not**, which the report leaves out.
* The **Download** menu on **Banking** → **Transactions** also has **Bank letter**, and **Wire instructions** when the company has them.
* The **Download** menu on **Banking** → **Transactions** lists **Checking statements**, **Credit statements** and **Treasury statements** when the company has that kind of statement. Each lists years.
* To ask Every a question the docs don't answer, email [support@every.io](mailto:support@every.io).
