> ## Agent Instructions
> These docs describe Every as customers have it today. Answer from them, and say so when they don't cover a question.
> Pages under /admins/ are for the people who run Every for the company, and pages under /employees/ are for employees. Answer from the pages that match the person asking.
> Each page's Agent reference section lists its exact roles, conditions and limits. Prefer it for those details.
> When a page says a feature is in closed beta, or that Every turns it on company by company, don't promise that the person's company has it.
> Use roles and on-screen labels exactly as the pages write them.
> When someone asks what a term means, answer with the Glossary page's definition (/glossary), which other pages show in parentheses after the term.
> When the docs don't answer a question, tell the person to email [support@every.io](mailto:support@every.io).

> Invite employees and contractors, prepare their offer documents and follow up on onboarding

Company Admins and HR Admins invite employees and contractors from **People** → **Add people**. To upload a CSV instead, see [Import people](https://every-a2724ddc.mintlify.site/admins/hr/import-people.md).

## Before you begin

* Company Admins and HR Admins can add people once payroll is set up and your company has finished onboarding.
* The hire needs a pay schedule. When no compatible schedule is listed, select **Create pay schedule** in the form.
* For Every to prepare the offer documents, your company needs a signatory (A person allowed to sign documents and agreements on a company's behalf). In the form, select **Configure signatory** to set one up.

## Invite a new hire

On **People**, select **Add people**. If a menu opens, select **Create new hire**.

**1. Choose the employment type**

In **Employee type**, choose **Full Time**, **Part Time** or **Contractor** for a U.S. hire. For an international contractor, choose **International contractor** and a compliance package.

For an international employee, choose **International employee (EOR)**, then select **Contact us**. Every's team handles that setup, so the form stops here.

**2. Enter the person's details**

In **Personal details**, enter their **Legal first name**, **Legal last name** and **Email**. Add a middle initial if needed.

If the form asks for a personal email, enter it. **Personal email** is required when your company has connected Okta; otherwise the field is **Personal email (optional)** and you can leave it blank.

**3. Set up their employment**

In **Employment details**, choose their **Manager** and **Department**. Employee hires also need a **Work location** and a representative who meets the new hire in person to inspect their identification documents for the I-9 (Employment Eligibility Verification: the U.S. form an employer completes to confirm that a new hire may work in the country).

Choose someone at the company, or have the new hire select a representative. For a company representative, choose the person under **Employee**.

**4. Set the job and pay**

In **Job & compensation**, choose the **Job title**, enter the **Compensation amount** and choose its frequency under **Per**. For an employee, set **Eligible for overtime**. Then choose the **Pay schedule** and **Start date**.

For hourly pay, choose **Timesheet input frequency**. Add details about a stock grant (An award of company shares or rights to acquire them, under conditions set by the grant agreement) when needed.

**5. Prepare the offer documents**

In **Offer letter**, choose **Yes, please create** for Every to prepare the employee's offer letter and Invention Assignment Agreement (Confidential Information and Invention Assignment Agreement: a contract that protects company secrets and assigns work inventions to the company), or a contractor's contract. Choose **No, I'll use my own** to upload your own PDF, DOC or DOCX files. For an employee, you can also upload an Invention Assignment Agreement.

Under **This person will work on**…, enter the service description for a generated contractor contract. If **Offer letter** shows **Choose template**, select it to start from one of your company's published offer letter templates, then select **Edit** to change the offer's content.

**6. Review and invite**

On **Review and confirm details**, check the hire and what happens next. Select **Make changes** to go back, or **Confirm & Invite** to save the hire and send the onboarding invitation.

## What happens next

Follow up from the person's row menu on **People**:

* **Send Invite** sends another onboarding invitation.
* **Onboard** opens an unfinished hire so you can complete the details.

If the regular pay run that covers the start date is no longer a draft, the review shows **Run a new hire payroll**. After onboarding, Every creates that payroll as a draft in **Payroll**, and you run it yourself (see [Running payroll](https://every-a2724ddc.mintlify.site/admins/payroll/running-payroll.md)).

### Follow up on I-9 verification

After onboarding is complete, an unfinished I-9 changes **Send Invite** to **Nudge the person doing this verification**. Select it to email the representative again.

To replace the representative while verification is incomplete, open the person's row menu on **People** and select **Change I-9 Reviewer**.

**1. Choose the representative type**

Under **I9 authorized representative type**, choose **Yes, someone at the company can meet them in person** or **No, I would like to select someone else**.

**2. Choose or enter the representative**

For a company representative, choose the person under **Employee**. For someone else, enter their name and email.

**3. Save the representative**

Select **Update**.

## Agent reference

**Where:** **People** → **Add people**. When **Add people** opens a menu, choose **Create new hire**. CSV imports have a separate [Import people](https://every-a2724ddc.mintlify.site/admins/hr/import-people.md) task.

**Who:** Only Company Admins and HR Admins can open **People** and invite a new hire, once payroll is set up and the company has finished onboarding.

### Facts

* The new-hire workflow from **People** → **Add people** runs through **Employee type**, **Personal details**, **Employment details**, **Job & compensation**, **Offer letter** and **Review and confirm details**.
* Every turns on CSV import company by company. For those companies, **Add people** on **People** opens a menu with **Create new hire**.
* **Employee type** offers **Full Time** and **Part Time** for a U.S. employee, **Contractor** for a U.S. contractor, **International contractor** and **International employee (EOR)**. An international contractor also requires a compliance package.
* In **Employee type**, **International employee (EOR)** shows **Contact us** and removes **Next**. EOR setup is a handoff to Every's team.
* **Personal details** includes **Legal first name**, **Middle initial (optional)**, **Legal last name** and **Email**.
* When **Personal details** asks for a personal email, the field is the required **Personal email** for a company that has connected Okta, and **Personal email (optional)** otherwise.
* In **Employment details**, an employee hire requires **Work location** and an I-9 representative choice: **Yes, someone at the company can meet them in person** or **No, please ask the employee to select someone they can meet in person**. Selecting a company representative requires a choice under **Employee**.
* **Employment details** includes **Manager** and **Department**. Contractor hires do not have the employee **Work location** or I-9 representative controls.
* **Job & compensation** includes **Job title**, **Compensation amount**, **Per**, **Pay schedule** and **Start date**, and asks **Will this person receive a stock grant?** **Pay schedule** is required. Employee hires also have **Eligible for overtime**. Hourly compensation also shows **Timesheet input frequency**.
* In **Job & compensation**, **Create pay schedule** appears when no compatible pay schedules are listed.
* In **Offer letter**, **Yes, please create** prepares an employee offer letter and Invention Assignment Agreement, or a contractor contract. **No, I'll use my own** offers optional document uploads; employee hires also have an optional Invention Assignment Agreement upload. The upload controls accept PDF, DOC and DOCX files.
* In **Offer letter**, a generated offer requires a configured company signatory. **Configure signatory** opens signatory setup. **Next** in **Offer letter** stays disabled while a required signatory is missing or a document is uploading.
* In **Offer letter**, **This person will work on**… holds the service description for a generated contractor contract.
* When **Offer letter** shows **Choose template**, a generated offer can start from one of the company's published offer letter templates for the employee or contractor hire type. A selected template has an **Edit** action for its content.
* On **Review and confirm details**, **Confirm & Invite** saves the hire and sends the onboarding invitation. **Make changes** returns from the final review.
* When a regular pay run on the hire's schedule that covers the start date is no longer a draft, **Review and confirm details** shows **Run a new hire payroll**. Every creates a separate new hire payroll after onboarding. A Company Admin or HR Admin runs the new hire payroll manually in **Payroll**.
* The new hire payroll Every creates after an employee's or contractor's onboarding is a draft with autopilot off in **Payroll**.
* On **People**, an incomplete hire's row menu offers **Onboard**, which reopens the hire, and **Send Invite**, which sends the onboarding invitation again.
* On **People**, an incomplete I-9 after completed onboarding changes **Send Invite** to **Nudge the person doing this verification**. The person's row menu offers **Change I-9 Reviewer** until verification is complete.
* **Nudge the person doing this verification** on **People** emails the I-9 representative again. A company representative receives the email at the chosen employee's email address. An outside representative receives the email at the email address entered for them.
* **Change I-9 Reviewer** on **People** is available to Company Admins and HR Admins while verification is incomplete. The replacement form starts with no type selected. First choose **I9 authorized representative type**. **Yes, someone at the company can meet them in person** reveals the required **Employee** selection. **No, I would like to select someone else** reveals the required **First and Last Name of Authorized Representative** and **Email of Authorized Representative** fields. Complete the fields, then select **Update**.
* **Change I-9 Reviewer** on **People** is unavailable once the person's I-9 verification is complete.

### Questions people ask

* **Can I hire an international employee here?** No. Choosing **International employee (EOR)** in **Employee type** shows **Contact us**, and Every's team handles the setup.
* **Can I use my own offer documents?** Yes. In **Offer letter**, choose **No, I'll use my own** and upload PDF, DOC or DOCX files.
* **Does inviting a new hire run their payroll?** No. When a new hire payroll is created after onboarding, a Company Admin or HR Admin runs the new hire payroll manually in **Payroll** (see [Running payroll](https://every-a2724ddc.mintlify.site/admins/payroll/running-payroll.md)).
* **How do I remind an I-9 representative?** On **People**, open the person's row menu and select **Nudge the person doing this verification** when onboarding is complete and the I-9 is incomplete.
* **Why can't I select Next on Offer letter?** A generated offer needs a company signatory, and **Next** in **Offer letter** stays disabled while a required signatory is missing or a file uploads. In **Offer letter**, select **Configure signatory** to set up the signatory.
* **Can I change the I-9 representative after verification is complete?** No. **Change I-9 Reviewer** on **People** is available only while I-9 verification is incomplete.
