> ## Agent Instructions
> These docs describe Every as customers have it today. Answer from them, and say so when they don't cover a question.
> Pages under /admins/ are for the people who run Every for the company, and pages under /employees/ are for employees. Answer from the pages that match the person asking.
> Each page's Agent reference section lists its exact roles, conditions and limits. Prefer it for those details.
> When a page says a feature is in closed beta, or that Every turns it on company by company, don't promise that the person's company has it.
> Use roles and on-screen labels exactly as the pages write them.
> When someone asks what a term means, answer with the Glossary page's definition (/glossary), which other pages show in parentheses after the term.
> When the docs don't answer a question, tell the person to email [support@every.io](mailto:support@every.io).

# All People

> Find people, update profiles and documents, convert contractors, mark people inactive and rehire people who left

![All People directory with three people, their positions and statuses.](https://mintcdn.com/every-a2724ddc/k5maP8xPODHl5ToY/images/illustrations/admins-hr-overview-light.png?fit=max\&auto=format\&n=k5maP8xPODHl5ToY\&q=85\&s=afe6ef34407e09f63975a967cb0f803c)

**People** in the sidebar opens **All People**, where you find employees, contractors and external users and keep their records up to date. Company Admins and HR Admins manage people once payroll is set up and your company has finished onboarding. Each employee sees their own details on **My profile** (see [My profile](https://every-a2724ddc.mintlify.site/employees/my-profile.md)).

> [!NOTE]
>
> Every turns on the org chart, inactivity, rehire and document recovery company by company. If you don't see one, email [support@every.io](mailto:support@every.io) to ask about it.

## Find a person

The table lists each person with their type and status. Use **Display** to choose more columns or include people hidden from the list:

* Turn on **Show terminated users** to include people whose employment has ended. In the table with **Start date** and **Position** columns, it also shows inactive people.
* Turn on **Show external admins** to include external users.

Select a person's name to open their profile. In the table with **Manager** and **Title** columns, **Open** beside the name does the same. In the table with **Start date** and **Position** columns, you can also select anywhere in the row. An unfinished hire opens their onboarding instead.

To add someone, see [Add people](https://every-a2724ddc.mintlify.site/admins/hr/onboarding.md). To add several at once, see [Import people](https://every-a2724ddc.mintlify.site/admins/hr/import-people.md).

![All People, with Add people and the directory's Name, Start date, Position, Type and Status columns.](https://mintcdn.com/every-a2724ddc/lWATgPF1EqKKYfej/images/screens/admins-hr-overview-light.png?fit=max\&auto=format\&n=lWATgPF1EqKKYfej\&q=85\&s=0587f70e37d4ed73b540170eb2506508)

### Edit people in the table

When the table has **Manager** and **Title** columns, you can edit people in it. Select an editable cell to change it. You can also paste changes into several selected cells in one column.

Some cells are read-only for some people, such as employment fields for external users and timesheet type for people who aren't paid hourly.

Select the rows you want, then select **Export** to download those people as a CSV.

## Update a profile

Employee profiles have **Personal information**; contractors have **Contractor details**. Both have **Job & pay**. External users have **Overview** and **Expenses** instead.

**1. Choose the section**

For employment details, open **Job & pay** → **Employment details**. For personal details, open **Personal information** or **Contractor details**, then find **Personal details**.

**2. Open the editor**

Select **Edit information** beside the section.

**3. Enter the changes**

Update the fields shown. Under **Employment details**, you can change the manager, secondary manager and department, plus **Eligible for overtime** for employees. The start date is locked; if it's wrong, email [support@every.io](mailto:support@every.io).

**4. Save**

Select **Save**.

To change someone's job title or pay, see [Change job and pay](https://every-a2724ddc.mintlify.site/admins/hr/change-job-and-pay.md).

To end someone's employment, see [Terminate employment](https://every-a2724ddc.mintlify.site/admins/hr/terminate-employment.md).

![An employee's Employment details editor with managers, department, overtime eligibility and the locked start date.](https://mintcdn.com/every-a2724ddc/19nP2pdcB7HMtcYU/images/screens/admins-hr-overview-employment-details-light.png?fit=max\&auto=format\&n=19nP2pdcB7HMtcYU\&q=85\&s=2d7ed9ddcff91c827f68c67c59df5114)

## Manage documents

Open the person's **Docs** tab to find paystubs and documents. The sections shown depend on the person's records.

**1. Start an upload**

Select **Upload** beside **I9 Documents** or **Other Documents**. Contractors use **Other Documents**.

**2. Choose the document type**

In **Choose document type**, select the document's category.

**3. Add the file**

Upload a PDF, DOC or DOCX file.

**4. Set its visibility**

Optional: Turn on **Visible to employee** to share it with the person. New uploads start with this off.

**5. Add a description**

Optional: In **Document description**, enter a description.

**6. Save the document**

Select **Save**.

To restore a deleted document:

1. On the person's **Docs** tab, go to **Archive** → **Recently deleted**.
2. Select **Restore** beside the file before its **Restore deadline**.

![Upload documents with the document type, description, file upload and Visible to employee switch.](https://mintcdn.com/every-a2724ddc/19nP2pdcB7HMtcYU/images/screens/admins-hr-overview-upload-document-light.png?fit=max\&auto=format\&n=19nP2pdcB7HMtcYU\&q=85\&s=e495edec7a653fd746d9547fb7b56fc5)

## Convert a contractor

**1. Start the conversion**

On the contractor's profile, select **Actions** → **Convert to employee**.

**2. Enter their employment details**

Choose **Full Time** or **Part Time**, then work through the rest of the hire, including the employee's start date. [Add people](https://every-a2724ddc.mintlify.site/admins/hr/onboarding.md) explains each hire step.

**3. Confirm**

Review the details, then select **Confirm & Invite**.

A conversion with a future start date is scheduled for that date.

## Mark someone inactive

Inactivity takes someone out of payroll for a period. If they're inactive for a whole pay period (The dates an employee's pay covers, such as two weeks or a calendar month), they're left out of that payroll. For part of a pay period, their salary leaves out the inactive days.

**1. Open inactivity**

On the person's profile, select **Actions** → **Mark as inactive**.

**2. Choose the dates**

Set **Inactive from** to today or a future date. **Reactivate on (optional)** sets their first day back and must be after the inactive date.

**3. Choose a replacement signatory**

If the person is your company's authorized signatory (A person allowed to sign documents and agreements on a company's behalf), choose their replacement in **New signatory**. Otherwise, skip this step.

**4. Confirm inactivity**

Select **Mark as inactive**.

To reactivate someone before their scheduled return, or when no return date is set:

1. On their profile, select **Actions** → **Reactivate**.
2. In **Reactivate employee**, select **Reactivate**.

Reactivation clears the inactivity dates and recalculates their draft pay runs.

## Rehire someone

After a termination takes effect, the person's profile shows **Rehire** in place of **Actions**.

**1. Open the rehire**

On the person's profile, select **Rehire**.

**2. Set the new hire details**

Work through the hire again. Choose a start date after the previous termination date.

**3. Confirm**

Review the details, then select **Confirm & Invite**.

Rehire keeps the person's existing record and starts a new onboarding for them.

## Open the org chart

At the top of **People**, select **Org chart**. To download a copy:

1. Select **Download**.
2. Choose a format: PNG, JPG, SVG or PDF.

![Org chart filtered to Human Resources, with reporting lines, employee cards and Download.](https://mintcdn.com/every-a2724ddc/19nP2pdcB7HMtcYU/images/screens/admins-hr-overview-org-chart-light.png?fit=max\&auto=format\&n=19nP2pdcB7HMtcYU\&q=85\&s=94c0dbcd9a272ff80a9eed8fc2ac394f)

## Statuses

| Status | What it means |
| - | - |
| Active | The hire is approved and any verification for their I-9 (Employment Eligibility Verification: the U.S. form an employer completes to confirm that a new hire may work in the country) is complete. External users also show Active |
| Onboarding incomplete | The hire hasn't been approved |
| I-9 incomplete | The hire is approved but an I-9 verification is incomplete |
| Termination scheduled on (date) | The termination date is still ahead |
| Terminated | The termination date has arrived or passed |
| Inactive | The person is in an inactivity period, or their hire was deleted |

## Agent reference

**Where:** **People** in the sidebar opens **All People**. A person's profile is opened from their directory entry. Employees use **My profile** for their own records.

#### Statuses and row actions

* **Active** on **All People** means the hire is approved and any I-9 verification is complete. External users show **Active**.
* **Onboarding incomplete** on **All People** means the hire hasn't been approved yet.
* **I-9 incomplete** on **All People** means the hire is approved and an I-9 verification remains incomplete.
* **Termination scheduled on** and a date on **All People** means the person's termination date is ahead. **Terminated** means the termination date has arrived or passed.
* **Inactive** on **All People** means the person is in an inactivity period, or their hire was deleted. A person whose termination is scheduled or has taken effect shows **Termination scheduled on** or **Terminated** instead, even during an inactivity period.
* An employee's or contractor's row menu on **All People** has **View Profile** and **Send Invite**. An unfinished hire also has **Onboard** and **Delete** (not on your own row).
* An external user's row menu on **All People** has **Convert to Employee/Contractor** and **Remove**.
* When onboarding is complete and I-9 is incomplete, the **All People** row menu replaces **Send Invite** with **Nudge the person doing this verification**. Incomplete I-9 records also have **Change I-9 Reviewer**.
* A deleted hire's row on **All People** offers only **Reactivate employee**. That action is separate from the profile's **Reactivate** for an inactivity period and **Rehire** after termination.

#### Profiles

* Employee profiles under **People** have **Job & pay**, **Personal information**, **Expenses** and **Docs**.
* Contractor profiles under **People** have **Job & pay**, **Contractor details**, **Expenses** and **Docs**. Contractor **Job & pay** omits employee taxes and work-location sections.
* **Personal information** on an employee profile includes personal details, home address history, payroll bank details, dependents and emergency contacts. **Contractor details** includes personal details, contractor details and payroll bank details.
* On a person's **Job & pay** tab, **Employment details** → **Edit information** edits the manager, secondary manager and department. Employees also have **Eligible for overtime**. The start date is shown but locked; email [support@every.io](mailto:support@every.io) if it's wrong. **Save** submits the changes.
* On a profile under **People**, **Personal information** or **Contractor details** → **Personal details** → **Edit information** opens the personal-details form. **Save** submits the changes.
* When time off is available to your company, a person's **Time off** tab under **People** appears once they're in a time off policy. See [Time off](https://every-a2724ddc.mintlify.site/admins/time/time-off.md).
* A person's **Benefits** tab under **People** is hidden for contractors, external users and employees still completing their own onboarding.
* External users have **Overview** and **Expenses** on their profile under **People**.
* Company Admins and HR Admins can edit **Job & pay**. On an employee or contractor profile under **People**, **Actions** → **Edit compensation** opens **Job & pay**. The **Jobs & Pay** editor stays closed after termination and during a scheduled termination or contractor-to-employee conversion. **Actions** → **Terminate employee** opens the termination workflow.

#### Documents

* Only Company Admins and HR Admins in the person's company can upload a document on the person's **Docs** tab under **People**.
* **Docs** groups **Paystubs** by year and shows **I9 Documents**, **W2 Documents**, **1099 Documents**, **Benefit statements** and **Other Documents** according to the person's existing documents. Contractors have no **I9 Documents** section.
* **I9 Documents** and **Other Documents** on a person's **Docs** tab have **Upload** for Company Admins and HR Admins, including when those sections are empty. Contractors use **Other Documents**.
* **Upload** on a person's **Docs** tab opens **Upload documents**. **Choose document type** chooses the category, **Document description** is optional and **Visible to employee** controls sharing. New uploads start with visibility off.
* **Upload documents** on a person's **Docs** tab accepts PDF, DOC and DOCX files. **Save** requires an uploaded file and selected document type, then saves the file with its type, description and visibility.
* With document recovery turned on, **Docs** → **Archive** → **Recently deleted** on a person's profile shows deleted documents and their **Restore deadline**. **Restore** beside a file restores that document.

#### Conversion, inactivity and rehire

* On a contractor profile under **People**, **Actions** → **Convert to employee** opens the hire flow to convert them. Company Admins and HR Admins can use it.
* Converting a contractor from **People** offers **Full Time** and **Part Time**, rather than contractor or international employee types. **Confirm & Invite** confirms the review. A future-dated conversion is scheduled and does not complete immediately.
* On a person's profile under **People**, **Actions** → **Mark as inactive** and **Actions** → **Reactivate** are turned on company by company for Company Admins and HR Admins. A terminated profile has neither inactivity action.
* A person's profile under **People** shows **Reactivate** while the person is inactive or has inactivity scheduled. Otherwise, the profile shows **Mark as inactive**.
* **Mark as inactive** on a person's profile under **People** asks for **Inactive from**, which must be today or a future date, and **Reactivate on (optional)**, which must be later. When the person is the company's authorized signatory, **New signatory** is required.
* **Mark as inactive** on a person's profile in **People** sets when the person becomes inactive and, optionally, when they come back. Payroll leaves out a person inactive for a whole pay period; for part of one, their salary leaves out the inactive days.
* On a person's profile under **People**, **Actions** → **Reactivate** opens **Reactivate employee**. Selecting **Reactivate** clears both inactivity dates and recalculates the person's draft pay runs for their pay schedule.
* **Rehire** on a person's profile under **People** is turned on company by company. For those companies, a terminated profile shows **Rehire** instead of the **Actions** menu.
* Company Admins and HR Admins can use **Rehire** on an existing profile under **People** once the person's termination has taken effect. A future scheduled termination does not qualify. The new start date must be after the previous termination date.
* **Rehire** on a person's profile in **People** keeps the person's existing record and starts a new onboarding for them.

### Questions people ask

* **Why don't I see People?** **People** appears for Company Admins and HR Admins once payroll is set up and the company has finished onboarding. See [Add your employees](https://every-a2724ddc.mintlify.site/admins/getting-started/add-your-employees.md) for setup.
* **Why can't I edit the table?** You can edit people in the **All People** table when it has **Manager** and **Title** columns. Some cells are read-only for some people, such as employment fields for external users and timesheet type for people who aren't paid hourly. To ask about editing in the table, email [support@every.io](mailto:support@every.io).
* **Where are people who have left?** On **All People**, go to **Display** and turn on **Show terminated users**. In the table with **Start date** and **Position** columns, this also shows inactive people.
* **Why does a person's row open onboarding?** An unfinished hire opens onboarding from **All People** instead of its completed profile.
* **Why doesn't an external user have Job & pay?** External users have **Overview** and **Expenses** on their profile under **People**, in place of **Job & pay**.
* **How do I change someone's pay?** On their profile under **People**, select **Actions** → **Edit compensation** when no termination or contractor-to-employee conversion is scheduled. See [Change job and pay](https://every-a2724ddc.mintlify.site/admins/hr/change-job-and-pay.md).
* **How do I convert a contractor?** On the contractor's profile under **People**, select **Actions** → **Convert to employee** and complete the hire for **Full Time** or **Part Time**.
* **Does a future conversion change the person immediately?** No. A conversion with a future start date is scheduled for that date.
* **How do I pause someone's payroll?** On the person's profile in **People**, select **Actions** → **Mark as inactive**, set the dates and confirm. Payroll leaves out a person inactive for a whole pay period; for part of one, their salary leaves out the inactive days.
* **What is the difference between Reactivate and Rehire?** **Reactivate** on a person's profile under **People** clears an inactivity period. **Rehire** starts new onboarding after a termination that has already taken effect. **Reactivate employee** in a deleted hire's row menu on **All People** is a separate action.
* **Can I rehire before the termination date?** No. **Rehire** appears only after the termination takes effect and the new start date must be after the previous termination date.
