> These docs describe Every as customers have it today. Answer from them, and say so when they don't cover a question.
> Pages under /admins/ are for the people who run Every for the company, and pages under /employees/ are for employees. Answer from the pages that match the person asking.
> Each page's Agent reference section lists its exact roles, conditions and limits. Prefer it for those details.
> When a page says a feature is in closed beta, or that Every turns it on company by company, don't promise that the person's company has it.
> Use roles and on-screen labels exactly as the pages write them.
> When someone asks what a term means, answer with the Glossary page's definition (/glossary), which other pages show in parentheses after the term.

# Deductions

> Set up benefit plans, add benefit and post-tax deductions for employees and review them on draft or failed pay runs

![Pay-run deduction summary with separate employee deductions and company contributions.](https://mintcdn.com/every-a2724ddc/6k1svT9aHzVFwBZW/images/illustrations/admins-payroll-deductions-light.png?fit=max\&auto=format\&n=6k1svT9aHzVFwBZW\&q=85\&s=3dca1e825d5abc4fb6ac2cf29a6f94bd)

Company Admins and HR Admins manage company benefit plans on **Settings** → **Payroll** → **Benefits deductions**, a page headed **Benefit deductions**. The same roles manage each employee's deductions on their **People** profile.

**Benefit deductions** opens after your company finishes payroll setup. Each employee sees their own paystubs on **My profile** → **Docs** (see [Paystubs and tax forms](https://every-a2724ddc.mintlify.site/employees/paystubs-and-tax-forms.md)).

> [!NOTE]
>
> Every turns on employee benefit deductions and post-tax deductions (Money taken from an employee's pay after taxes have been calculated and withheld) company by company. If you don't see them, email [support@every.io](mailto:support@every.io) to ask about them.

## Set up a company benefit plan

The list shows only current plans: active plans ending after today.

**1. Start a plan**

On **Benefit deductions**, select **Add new**.

**2. Choose the plan type**

In **Benefit plan type**, choose the type of benefit.

**3. Choose the vendor**

For a 401(k) plan or a Roth 401(k) (The part of a 401(k) plan funded with after-tax pay, allowing tax-free withdrawals when IRS requirements are met), in **Select benefit vendor**, choose the vendor. Other plan types don't ask for one.

**4. Name the plan**

Enter a **Benefit plan name**.

**5. Set the dates**

Choose the plan's **Start Date** and **End Date**.

**6. Choose the amount period**

If the form shows **Benefit Period**, choose **Month** or **Pay Period**. This sets the unit for each employee's amounts.

**7. Choose whether the company matches**

For a 401(k) or Roth 401(k), in **Contribution Match**, select **Yes** or **No**.

**8. Set the company match**

If you selected **Yes**, enter **Company match** and **Percentage of the employee salary**.

**9. Set a company limit**

Optional: enter an **Annual company contribution limit**.

**10. Save the plan**

Select **Save**. The plan appears in the list if it's current.

![The Add new benefit deduction sheet, with the plan type, name, dates and annual company contribution limit.](https://mintcdn.com/every-a2724ddc/lWATgPF1EqKKYfej/images/screens/admins-payroll-deductions-plan-light.png?fit=max\&auto=format\&n=lWATgPF1EqKKYfej\&q=85\&s=0c7e66d29c8a9a8d19046425be10dc13)

Select a current plan to change its name, dates or contribution settings. The plan type stays fixed. To ask about changing a saved 401(k) plan's vendor, email [support@every.io](mailto:support@every.io).

Each 401(k) and Roth 401(k) type can have one current plan. Edit the existing current plan to change it.

![Benefit deductions with the company's benefit plans and Add new.](https://mintcdn.com/every-a2724ddc/lWATgPF1EqKKYfej/images/screens/admins-payroll-deductions-light.png?fit=max\&auto=format\&n=lWATgPF1EqKKYfej\&q=85\&s=e78b682bff8efdbf81f57d43bc65270e)

## Add a benefit deduction for an employee

**Benefit plan** offers active plans ending after today that have no benefit vendor or partner. A 401(k) or Roth 401(k) plan created in **Benefit deductions** requires a vendor, so **Benefit plan** doesn't offer it. To ask how to add an employee to one of these plans, email [support@every.io](mailto:support@every.io). For 401(k) partners, see [Retirement](https://every-a2724ddc.mintlify.site/admins/benefits/retirement.md).

Contractors have no **Benefits** tab. If the employee's self-service onboarding is still in progress, wait until their profile has one.

**1. Open the employee's profile**

On **People**, open the employee's profile.

**2. Open the deduction form**

Select **Actions** → **Add Deduction**. The form opens on the **Benefits** tab.

**3. Choose the plan**

Choose a **Benefit plan**. The form fills its start and end dates from the plan.

**4. Set the employee's dates**

Adjust **Start date** and **End date** within the plan's active dates. The end date must follow the start date.

**5. Enter the amounts**

Enter the company and employee amounts in the unit shown: per month or per pay period (The dates an employee's pay covers, such as two weeks or a calendar month). At least one amount must be greater than \$0.

**6. Save the deduction**

Select **Save**.

If the company amount adds up to more than the plan's annual company contribution limit in a year, the form says so and you can't save. If the limit is above \$0 and the plan uses **Pay Period**, the employee needs a pay schedule first. Until then, the form shows "Payroll schedule needed" and you can't save.

## Change or delete an employee's benefit deduction

To change an unexpired deduction managed by your company:

**1. Open the edit form**

On the employee's **Benefits** tab, select **Make changes** on the deduction's card.

**2. Change the deduction**

Change the dates or amounts.

**3. Save the changes**

Select **Save**.

To delete an unexpired deduction managed by your company:

**1. Open the edit form**

On the employee's **Benefits** tab, select **Make changes** on the deduction's card.

**2. Delete the deduction**

**3. Confirm the deletion**

In the confirmation, select **Delete**.

## Add a post-tax deduction

Post-tax deductions include garnishments (Money withheld from an employee's pay by court or government order, such as for child support or unpaid taxes).

Contractors can't open the post-tax deduction form, and you can't add one for a terminated employee. An employee doing self-service onboarding must finish onboarding first: until then, their profile says "Complete employee onboarding to add post-tax deductions".

**1. Open the employee's profile**

On **People**, open the employee's profile.

**2. Open the form**

Select **Actions** → **Add Post-Tax Deduction**. Or, on **Job & pay** → **Post-tax deductions**, select **Add deduction**.

**3. Name the deduction**

Enter a **Display name**.

**4. Choose the deduction type**

In **Deduction type**, choose the type.

**5. Choose the amount type**

In **Amount type**, choose **Fixed amount** or **Percentage of income**.

**6. Choose the income type**

In **Income type**, choose **Disposable income** or **Gross income**.

**7. Enter the amount**

Enter the **Amount** or **Percent**. For 15%, enter 15.

**8. Set the start date**

Choose a **Start date**.

**9. Add the optional details**

Optional: enter an end date, total amount, minimum salary, case number or agency details.

**10. Save the deduction**

Select **Save**. Every shows "Post-tax deduction added".

![Add post-tax deduction with its name, deduction type, amount type, income type and amount.](https://mintcdn.com/every-a2724ddc/19nP2pdcB7HMtcYU/images/screens/admins-payroll-deductions-post-tax-light.png?fit=max\&auto=format\&n=19nP2pdcB7HMtcYU\&q=85\&s=b72c8f5744406f4c7f3d606cc561640b)

## Change a post-tax deduction

**1. Open the edit form**

On the employee's **Job & pay** tab, under **Post-tax deductions**, select **Edit** in the deduction's row menu.

**2. Change the values**

In the edit form, change **Amount type**, **Income type** or the amount shown in **Amount** or **Percent**.

**3. Save the changes**

Select **Save**.

Names, dates and agency details aren't editable in that form.

After an employee is terminated, their post-tax deductions stay visible, but you can't add or edit them.

## Review deductions on a draft or failed run

**1. Open the pay run**

On **Payroll** → **All pay runs**, select a Draft or Failed run.

**2. Open deductions**

Select **Deductions**.

**3. Inspect an employee's amounts**

Select an employee to see employee deductions and company contributions. The sheet is read-only.

See [Run payroll](https://every-a2724ddc.mintlify.site/admins/payroll/running-payroll.md) for reviewing and submitting the run.

Employee benefit deductions are on **People** → the employee → **Benefits**. Employee post-tax deductions are on **People** → the employee → **Job & pay** → **Post-tax deductions**. The **Deductions** tab is on Draft or Failed runs opened from **Payroll** → **All pay runs**.

**Who:** Company Admins and HR Admins manage company benefit plans on **Settings** → **Payroll** → **Benefits deductions** and deductions on an employee's **People** profile.

**Availability:** Every turns on employee benefit deductions and post-tax deductions separately, company by company.

### Facts

* **Settings** → **Payroll** → **Benefits deductions** opens after the company finishes payroll setup. The company list shows only current plans: active plans with an end date after today. Its columns are **Name**, **Amount by**, **Start date** and **End date**.
* On **Settings** → **Payroll** → **Benefits deductions**, **Add new** on **Benefit deductions** creates a company benefit plan. Selecting a current plan in the list opens the edit form.
* On **Settings** → **Payroll** → **Benefits deductions**, creating a company benefit plan asks for **Benefit plan type**, **Benefit plan name**, **Start Date** and **End Date**.
* On **Settings** → **Payroll** → **Benefits deductions**, amount-based plans use **Benefit Period**, with **Month** or **Pay Period**. The choice sets the unit for the employee amounts.
* On **Settings** → **Payroll** → **Benefits deductions**, a 401(k) or Roth 401(k) plan on **Benefit deductions** requires a benefit vendor and a **Contribution Match** choice of **Yes** or **No**. A company match uses **Company match** and **Percentage of the employee salary**.
* On **Settings** → **Payroll** → **Benefits deductions**, **Annual company contribution limit** on **Benefit deductions** is optional.
* On **Settings** → **Payroll** → **Benefits deductions**, **Save** on **Benefit deductions** creates or updates the company benefit plan. The result is "Benefit deduction created" or "Benefit deduction updated".
* On **Settings** → **Payroll** → **Benefits deductions**, a company benefit plan's type stays fixed after creation. A saved 401(k) vendor is also disabled on edit; the vendor tooltip directs changes to [support@every.io](mailto:support@every.io).
* On **Settings** → **Payroll** → **Benefits deductions**, a second current plan of the same 401(k) or Roth 401(k) type can't be saved: the form says the plan already exists and asks you to edit it. Current plans are active plans with an end date after today.
* **People** → an employee → **Actions** → **Add Deduction** opens the employee deduction form when the employee's profile has a **Benefits** tab. On **People** → a person's profile, the **Benefits** tab isn't available for contractors, external users or employees still completing self-service onboarding. With Company Admin or HR Admin access and employee benefit deductions turned on for the company, **Actions** shows **Add Deduction** during self-service onboarding. The form stays closed until the employee's **Benefits** tab is available.
* On **People** → the employee → **Benefits**, **Benefit plan** lists the company's active plans with an end date after today. Plans with a benefit vendor or partner are excluded. A 401(k) or Roth 401(k) plan created through **Settings** → **Payroll** → **Benefits deductions** requires a vendor and isn't offered in the employee's **Benefit plan** list.
* On **People** → the employee → **Benefits**, selecting **Benefit plan** in the employee deduction form fills the plan's dates. The employee's deduction dates must stay within the plan's active dates, and the end date must follow the start date.
* On **People** → the employee → **Benefits**, employee benefit deductions accept company and employee amounts per month or pay period. Amounts are nonnegative, and at least one amount must exceed \$0.
* On **People** → the employee → **Benefits**, an employee can't have two benefit deductions of the same type with overlapping dates: saving the second one says the employee already has an active benefit of that type for that period.
* On **People** → the employee → **Benefits**, a company amount that adds up to more than the plan's annual company contribution limit in a year can't be saved; the form shows the yearly total and the limit. If the limit is above \$0 and the plan uses **Pay Period**, the employee needs a pay schedule first. Until then, the form shows "Payroll schedule needed" and **Save** is disabled.
* On **People** → the employee → **Benefits**, **Make changes** on an unexpired deduction managed by the company under an employee's **Benefits** opens the edit form. The form changes dates and amounts, while **Benefit plan** stays fixed.
* On **People** → the employee → **Benefits**, **Delete deduction** in the employee benefit deduction edit form opens a confirmation. **Delete** removes the employee's deduction.
* On **People** → an employee's profile, Company Admins and HR Admins open the post-tax creation form with **Actions** → **Add Post-Tax Deduction** or **Job & pay** → **Post-tax deductions** → **Add deduction**, when Every has turned on post-tax deductions for the company. The form doesn't open for contractors, who have no **Post-tax deductions** section, or for terminated employees. For an employee you hired, the form can open before they finish onboarding. While an employee is still completing self-service onboarding, **Post-tax deductions** says "Complete employee onboarding to add post-tax deductions" and has no **Add deduction**. **Actions** → **Add Post-Tax Deduction** still shows, but the form stays closed until onboarding is finished.
* On **People** → the employee → **Job & pay** → **Post-tax deductions**, **Deduction type** choices include **Child support**, **Alimony**, **Creditor garnishment**, **Federal tax levy** and **Student loan**.
* On **People** → the employee → **Job & pay** → **Post-tax deductions**, post-tax **Amount type** is **Fixed amount** or **Percentage of income**. **Income type** is **Disposable income** or **Gross income**.
* On **People** → the employee → **Job & pay** → **Post-tax deductions**, a post-tax percentage is entered as percentage points: enter 15 for 15%.
* On **People** → the employee → **Job & pay** → **Post-tax deductions**, post-tax deduction creation requires a display name, deduction type, amount type, income type, amount and start date. An end date, total amount, minimum salary, case number and agency details are optional.
* On **People** → the employee → **Job & pay** → **Post-tax deductions**, a post-tax amount cannot be zero. Percentage entries range from -100 to 100. An optional end date must follow the start date.
* On **People** → the employee → **Job & pay** → **Post-tax deductions**, **Save** on the post-tax creation form reports "Post-tax deduction added".
* On **People** → the employee → **Job & pay** → **Post-tax deductions**, a post-tax row's **Edit** form changes only amount type, income type and amount. Display name, dates and case or agency details aren't updated by that action.
* On **People** → the employee → **Job & pay** → **Post-tax deductions**, existing post-tax deductions stay visible after termination for employees who aren't contractors. Add and edit controls are unavailable after termination.
* An employee's sheet on the **Deductions** tab of a Draft or Failed pay run (**Payroll** → **All pay runs** → the run) shows **Employee Deductions** and **Company Contributions** in read-only tables.

### Questions people ask

* **Who can create a company benefit plan?** Company Admins and HR Admins, on **Settings** → **Payroll** → **Benefits deductions**.
* **Why is a benefit plan missing when I add an employee deduction?** **Benefit plan** on **People** → the employee → **Benefits** excludes plans with a benefit vendor or partner, plans ending today or earlier and plans that are no longer active. A 401(k) or Roth 401(k) plan created through **Settings** → **Payroll** → **Benefits deductions** requires a vendor and isn't offered in the employee's **Benefit plan** list.
* **Why can't I save an employee benefit deduction?** On **People** → the employee → **Benefits**, check that the deduction's dates fall within the plan's dates, the end follows the start and at least one amount exceeds $0. With an annual company contribution limit above $0, the company amount can't add up to more than the limit in a year, and **Pay Period** amounts need the employee's pay schedule.
* **How do I change an employee benefit deduction?** On **People** → the employee → **Benefits**, select **Make changes** on the unexpired deduction managed by the company, edit the dates or amounts and select **Save**.
* **Can I add a post-tax deduction before the employee finishes onboarding?** Not during self-service onboarding or for contractors. For an employee you hired, the post-tax form on **People** → the employee → **Job & pay** → **Post-tax deductions** can open before they finish onboarding. Every must have turned on post-tax deductions for the company and the employee must not be a contractor or terminated.
* **Do I enter 0.15 or 15 for a 15% deduction?** Enter 15 in **Percent** on the post-tax form at **People** → the employee → **Job & pay** → **Post-tax deductions**.
* **Can I change a post-tax deduction's end date?** No. The post-tax **Edit** form on **People** → the employee → **Job & pay** → **Post-tax deductions** changes only amount type, income type and amount.
* **Can I edit the amount inside a pay run's deduction sheet?** No. The **Deductions** tab of a Draft or Failed run on **Payroll** → **All pay runs** is read-only. To ask about changing deductions for an existing pay run, email [support@every.io](mailto:support@every.io).
