> ## Agent Instructions
> These docs describe Every as customers have it today. Answer from them, and say so when they don't cover a question.
> Pages under /admins/ are for the people who run Every for the company, and pages under /employees/ are for employees. Answer from the pages that match the person asking.
> Each page's Agent reference section lists its exact roles, conditions and limits. Prefer it for those details.
> When a page says a feature is in closed beta, or that Every turns it on company by company, don't promise that the person's company has it.
> Use roles and on-screen labels exactly as the pages write them.
> When someone asks what a term means, answer with the Glossary page's definition (/glossary), which other pages show in parentheses after the term.
> When the docs don't answer a question, tell the person to email [support@every.io](mailto:support@every.io).

# All pay runs

> Open active and past pay runs, check each run's status and due date, create a new pay run, and edit, skip or cancel runs you don't need.

**Payroll** in the sidebar opens **All pay runs**, where you find your company's pay runs and their deadlines. Company Admins and HR Admins can use it when your company has payroll turned on. Each employee sees their own paystubs on **My profile** → **Docs** after your company finishes onboarding (see [Paystubs and tax forms](https://every-a2724ddc.mintlify.site/employees/paystubs-and-tax-forms.md)).

Until payroll onboarding is complete, the page shows a preview. Select **Get started** to open payroll onboarding. Before your account is approved, the button is disabled and reads **Get started after account approved**.

## Open a pay run

On **All pay runs**, select a row to open the run. The tabs separate active and past runs:

| Tab | What you'll find |
| - | - |
| **Active** | Runs that haven't reached Paid |
| **Past** | Runs that have reached Paid |

The list shows each run's name or pay period (The dates an employee's pay covers, such as two weeks or a calendar month), due date, payday and status. See [Run payroll](https://every-a2724ddc.mintlify.site/admins/payroll/running-payroll.md) to adjust, review and submit a run.

## Edit or skip a run

Draft and Failed runs have **Edit payroll** in their row menu. Submitted and Paid runs have no row menu.

1. On **All pay runs**, open the run's row menu.
2. Select **Edit payroll**.

The run's **Payroll settings** sheet opens (see [Change pay run settings](https://every-a2724ddc.mintlify.site/admins/payroll/running-payroll.md#change-pay-run-settings)).

![A Draft run's row menu on All pay runs, with Edit payroll.](https://mintcdn.com/every-a2724ddc/lWATgPF1EqKKYfej/images/screens/admins-payroll-overview-menu-light.png?fit=max\&auto=format\&n=lWATgPF1EqKKYfej\&q=85\&s=7b4a0d3d3743f3bf961e5acfad657d61)

To remove a run you don't need, select **Skip payroll** in its row menu. For runs that haven't reached Submitted or Paid, the action is available before or after the due date. On the due date, only off-cycle and bonus runs offer it. A Draft PTO off-cycle offers **Cancel PTO off-cycle** instead (see [Cancel a PTO off-cycle](#cancel-a-pto-off-cycle)).

> [!WARNING]
>
> Skipping a pay run can't be undone. Review the run before you confirm.

**1. Open the row menu**

On **All pay runs**, open the run's row menu.

**2. Skip the run**

Select **Skip payroll**.

**3. Confirm**

In the confirmation, select **Skip payroll**. The run leaves **All pay runs**.

### Cancel a PTO off-cycle

A Company Admin can cancel a Draft PTO off-cycle. The HR Admin role on its own can't.

**1. Open the row menu**

On **All pay runs**, open the run's row menu.

**2. Cancel the run**

Select **Cancel PTO off-cycle**.

**3. Confirm**

In the confirmation, select **Cancel off-cycle**. The run leaves the list and the linked time off request is marked unpaid. Its approval stays the same.

## Create a pay run

After payroll onboarding:

1. On **All pay runs**, select **Create new**.
2. In the menu, choose the kind of run:

| Option | Next task |
| - | - |
| **Offcycle** or **Bonus** | [Create an off-cycle or bonus pay run](https://every-a2724ddc.mintlify.site/admins/payroll/off-cycle-payroll.md) |
| **Termination** | [Run a termination payroll](https://every-a2724ddc.mintlify.site/admins/payroll/termination-payroll.md) |

## Status and deadlines

| Status | What opens when you select the run |
| - | - |
| Draft or Failed | The run's pay entry |
| Pending or Processing | The run's review |
| Submitted or Paid | The run's payroll summary |

A regular run past due shows Overdue instead of its status, unless it has reached Submitted, Paid or Failed.

An **Autopilot** badge means autopilot is on for the run's pay schedule and hasn't been turned off for this run. To manage pay schedules, see [Payroll settings](https://every-a2724ddc.mintlify.site/admins/payroll/settings.md).

A **Payroll overdue** alert means a regular run has passed its due date without reaching Submitted or Paid. Missing the due date delays payday, so tell your employees about the delay.

For a funding problem or a deposit missing on payday, see [Failed or delayed payroll](https://every-a2724ddc.mintlify.site/admins/payroll/running-payroll.md#failed-or-delayed-payroll).

## Trouble loading pay runs

For "Error loading payroll data", refresh the page. If the problem persists, email [support@every.io](mailto:support@every.io).

## Agent reference

**Where:** **Payroll** in the sidebar opens **All pay runs**. Selecting a row opens that pay run.

**Who:** Company Admins and HR Admins at a company with payroll turned on. A people-manager relationship alone does not grant access to **Payroll**. A Company Admin can complete **Cancel PTO off-cycle**; the HR Admin role on its own can't.

### Facts

* Each employee sees their own paystubs on **My profile** → **Docs** after the company finishes onboarding. [Paystubs and tax forms](https://every-a2724ddc.mintlify.site/employees/paystubs-and-tax-forms.md) covers the employee task.
* Before payroll onboarding is complete, **Payroll** → **All pay runs** shows a preview rather than real payroll rows.
* **Get started** on **Payroll** → **All pay runs** opens payroll onboarding. If **Get started** still can't be selected after the company's account is approved, email [support@every.io](mailto:support@every.io).
* Before company account approval, the onboarding button on **Payroll** → **All pay runs** is disabled and reads **Get started after account approved**.
* **Active** on **Payroll** → **All pay runs** contains runs that have not reached Paid. **Past** contains completed runs, labeled Paid in the list.
* The default columns on **Payroll** → **All pay runs** are **Pay run**, **Due date**, **Pay day** and **Status**. The initial sort is payday, newest first, with 10 rows per page.
* Regular runs on **Payroll** → **All pay runs** show their pay period as the name. Other runs show their run name.
* The status labels on **Payroll** → **All pay runs** are Draft, Pending, Processing, Submitted, Paid and Failed. A regular run past due shows Overdue instead, unless the run is Submitted, Paid or Failed. Paid corresponds to a completed run.
* Draft and Failed runs selected on **Payroll** → **All pay runs** open the run's pay entry. Pending and Processing runs open the run's review. Submitted and Paid runs open the run's payroll summary.
* **Edit payroll** on **Payroll** → **All pay runs** is available for Draft and Failed runs and opens the run's **Payroll settings** sheet.
* Submitted and Paid runs on **Payroll** → **All pay runs** have no row menu. For other runs, **Skip payroll** is offered when the due date is not today or when the run has the off-cycle or bonus type. A Draft PTO off-cycle that can be canceled offers **Cancel PTO off-cycle** instead.
* **Skip payroll** on **Payroll** → **All pay runs** removes the run from the list for good. The confirmation warns that the action cannot be undone.
* **Cancel PTO off-cycle** on **Payroll** → **All pay runs** is offered for a Draft PTO-linked off-cycle. A Company Admin can complete the cancellation; the HR Admin role on its own can't. **Cancel off-cycle** removes the run, marks the linked request unpaid and leaves the time off approval unchanged.
* An **Autopilot** badge on **Payroll** → **All pay runs** appears when the schedule has autopilot on and autopilot hasn't been turned off for that run. The badge is not a confirmation that the run has been submitted.
* The **Payroll overdue** alert on **Payroll** → **All pay runs** concerns regular runs past due that are neither Submitted nor Paid. The page tells the company to inform employees that payday is delayed.
* For a Failed pay run or a payroll deposit missing on payday, [Run payroll](https://every-a2724ddc.mintlify.site/admins/payroll/running-payroll.md#failed-or-delayed-payroll) gives the next steps. Email [support@every.io](mailto:support@every.io) to ask about a funding shortfall before submitting again.
* **Create new** on **Payroll** → **All pay runs** appears after payroll onboarding and offers **Offcycle**, **Bonus** and **Termination**.
* For "Error loading payroll data" on **Payroll** → **All pay runs**, refresh the page. If the problem persists, email [support@every.io](mailto:support@every.io).
