# Financial reports

> Read profit and loss, balance sheet and cash flow statements from your accounting software, and download them as CSV

**Tools** → **Reports** lists your company's three financial statements in its **Accounting** group. Company Admins and Bookkeepers can open them after your company finishes onboarding.

The statements appear once accounting is enabled for your company and someone has started connecting its accounting software (see [Accounting settings](https://every-a2724ddc.mintlify.site/admins/settings/accounting.md)).

> [!NOTE]
>
> The **Accounting status** panel above each statement follows whether Accounting insights is available to your company, which Every turns on company by company. If you don't see the panel, email [support@every.io](mailto:support@every.io) to ask about it.

| Report | What it shows |
| - | - |
| **Profit & Loss** | A summary of the revenues, costs and expenses incurred during a period |
| **Balance Sheet** | Your assets, liabilities and shareholders' equity (The value left for a company's owners after subtracting its liabilities from its assets) at a point in time |
| **Cash Flow** | How changes in balance sheet accounts and income affect your cash and cash equivalents (Short-term investments readily converted to known cash amounts, with little risk of changing value) |

An open statement is titled **Profit and loss**, **Balance sheet** or **Cash flow**.

## Read a statement

Each statement is a table with an **Account** column and one column per month.

* Expand an account to see the accounts inside it.
* **Profit and loss** ends with **Net Income**, and **Balance sheet** ends with **Net Assets**.
* Use the date range picker to choose a preset or **Custom**, then select **Apply**.
* Select **Filters** → **Account** to show only some accounts.
* Select **Display** to change the **Ordering** or hide columns. Once you change the view, **Display** also shows **Reset view**, which clears your saved **Display** settings for the statement.

Above each statement, **Accounting status** shows **Closed through** a date, or "No closed months yet". Hover over a month for its status. Months with expenses also show **Categorized** and **Finalized** progress.

![Profit and loss with account rows, monthly columns and report controls beside Every's sidebar.](https://mintcdn.com/every-a2724ddc/lWATgPF1EqKKYfej/images/screens/admins-reports-financial-reports-light.png?fit=max\&auto=format\&n=lWATgPF1EqKKYfej\&q=85\&s=7b634b3f8b466ee9ae76a4041a5b2418)

## Download a statement

Select **Export** to download the statement as a CSV file. The file covers the months you chose in the date range picker and holds the full statement, including every nested account. Your **Account** filter, ordering, hidden columns and expanded rows don't change it.

If the statement has no rows, Every shows "No data to export. The report is empty."

## Agent reference

**Where:** **Tools** → **Reports**. The list screen is titled **All Reports**, and its **Accounting** group holds **Profit & Loss**, **Balance Sheet** and **Cash Flow**. Opening one shows a screen titled **Profit and loss**, **Balance sheet** or **Cash flow**.

**Who:** Company Admins and Bookkeepers can open the three statements in **Tools** → **Reports** after the company finishes onboarding. The statements appear when accounting is enabled and someone has started connecting the company’s accounting software.

Where Every has turned on Accounting insights company by company, **Accounting** → **Insights** has a **Financial statements** widget with its own controls, described on [Accounting insights](https://every-a2724ddc.mintlify.site/admins/accounting/insights.md). The widget differs from the statements in **Tools** → **Reports**.

### Facts

* The three financial statements in **Reports** are **Profit & Loss**, **Balance Sheet** and **Cash Flow** in the **Accounting** group of **All Reports**.
* **All Reports** shows each report's description under its name. **Profit & Loss** is described as summarizing the revenues, costs and expenses incurred during a specific period of time.
* **Balance Sheet** in **All Reports** is described as reporting a company's assets, liabilities and shareholders' equity at a specific point in time.
* **Cash Flow** in **All Reports** is described as showing how changes in balance sheet accounts and income affect cash and cash equivalents. Its description also says it breaks the analysis down to operating, investing and financing activities.
* **Tools** → **Reports** lists the three statements when accounting is enabled and someone has started connecting the company’s accounting software. See [Accounting settings](https://every-a2724ddc.mintlify.site/admins/settings/accounting.md) to connect software.
* Company Admins and Bookkeepers can open the financial statements after company onboarding is complete.
* Each statement table in **Tools** → **Reports** has an **Account** column and one currency column per month, labeled with the month and year.
* Accounts in a statement in **Tools** → **Reports** nest. A row with accounts inside it can be expanded.
* **Profit and loss** in **Tools** → **Reports** builds its rows from income, cost of sales, expenses, other income and other expenses. It includes **Gross Profit**, **Net Operating Income** and **Net Other Income** rows and ends with **Net Income**.
* **Balance sheet** in **Tools** → **Reports** builds its rows from assets, liabilities and equity, and ends with **Net Assets**.
* **Cash flow** in **Tools** → **Reports** builds its rows from cash receipts and cash payments.
* The last row of **Profit and loss** and of **Balance sheet** in **Tools** → **Reports** is highlighted.
* A statement in **Tools** → **Reports** shows one column per month in the selected date range. It has no **Accrual** or **Cash** basis choice.
* The date range picker in **Tools** → **Reports** offers **Last 3 months**, **Last 6 months**, **Last year**, **Year to date** and **Custom**. **Apply** applies the chosen period, and **Cancel** discards the range you picked and keeps the one the statement already uses.
* In the date range picker in **Tools** → **Reports**, **Last 3 months** starts two months before the current month and runs through the end of the current month. **Last 6 months** starts five months before the current month and runs through the end of the current month.
* In the date range picker in **Tools** → **Reports**, **Last year** is the previous calendar year. **Year to date** runs from the beginning of this year through the end of the current month.
* A statement in **Tools** → **Reports** opens on the last 6 months when no range has been chosen or saved in the page address.
* **Custom** in the date range picker of a statement in **Tools** → **Reports** shows a year with a button for each month, and arrows change the year. Every turns on a day-by-day calendar for **Custom** company by company.
* **Filters** in a statement in **Tools** → **Reports** offers **Account** only, as a dropdown. The month columns can't be filtered.
* **Display** in a statement in **Tools** → **Reports** has **Ordering** and a **Show** list of columns to hide. The **Account** column and each month column can be sorted and hidden.
* **Reset view** in **Display** on a statement in **Tools** → **Reports** appears only once the statement's ordering, visible columns, grouping or toggle filters differ from the default. Selecting it deletes the **Display** settings Every saved for that statement. Every saves a change to ordering or hidden columns as the person's setting for that statement.
* **Display** in a statement in **Tools** → **Reports** has no **Grouping** option.
* **Export** at the top of a statement in **Tools** → **Reports** downloads a CSV of the report's full rows and configured columns. The **Account** filter, ordering, hidden columns and expanded rows don't change the file. The months selected in the date range picker do.
* In the CSV from **Export** on a statement in **Tools** → **Reports**, currency amounts have two decimal places.
* **Export** on an empty statement in **Tools** → **Reports** shows "No data to export. The report is empty." A successful download shows "Table was successfully exported." A failed one shows "Failed to export table."
* **Accounting status** above a statement in **Tools** → **Reports** appears only when Every has turned on Accounting insights for the company. It shows **Closed through** with a date, or "No closed months yet", for the last 6 months ending with the current month.
* Where **Accounting status** shows above a statement in **Tools** → **Reports**, it names each month **Closed**, **In progress** or **Not started**. Hovering over a month shows its status, and **Categorized** and **Finalized** progress when the month has expenses to categorize. A month with nothing to categorize shows a note instead.
* An open month in **Accounting status** above a statement in **Tools** → **Reports** with uncategorized expenses shows the count and **View month**, which opens **Accounting** → **Expenses** filtered to that month.
* A closed month in **Accounting status** above a statement in **Tools** → **Reports** can warn that some expenses haven't reached the accounting system and its figures may be incomplete.
* **Accounting status** above a statement in **Tools** → **Reports** shows **Bookkeeping plan subscription** with **Monthly plan**, **Quarterly plan**, **Annual plan** or **No subscription**. It opens expanded and has a button that collapses it.
* When **Accounting status** above a statement in **Tools** → **Reports** can't load, it says **Status unavailable** and "We couldn't load accounting status right now."

### Questions people ask

* **Can an HR Admin open the financial statements?** Not with the HR Admin role alone. Company Admins and Bookkeepers can open the financial statements in **Tools** → **Reports**.
* **Why don't I see Profit & Loss, Balance Sheet or Cash Flow?** The company must have finished onboarding, enabled accounting and started connecting its accounting software. You also need the Company Admin or Bookkeeper role. See [Accounting settings](https://every-a2724ddc.mintlify.site/admins/settings/accounting.md) to connect software.

* **Does my CSV include accounts I filtered out?** Yes. **Export** downloads the full statement for the months you chose. The **Account** filter, ordering, hidden columns and expanded rows don't change the file.
* **Does Export download only the columns I can see?** No. The CSV from **Export** on a statement in **Tools** → **Reports** uses the statement's configured columns, so columns you hid in **Display** are still in it.
* **Can I choose accrual or cash for a statement in Reports?** No. Statements in **Tools** → **Reports** have no basis choice. Where Every has turned on Accounting insights company by company, the **Financial statements** widget in **Accounting** → **Insights** has an **Accrual** or **Cash** choice, described on [Accounting insights](https://every-a2724ddc.mintlify.site/admins/accounting/insights.md).
* **Can I group the columns by quarter or year in Reports?** No. Each statement in **Tools** → **Reports** has one column per month, and **Display** has no **Grouping** option.

* **Why don't I see Accounting status above my statement?** **Accounting status** follows whether Accounting insights is available to the company, which Every turns on company by company. To ask about it, email [support@every.io](mailto:support@every.io).
* **How do I find a month's uncategorized expenses?** Where **Accounting status** shows above a statement in **Tools** → **Reports**, hover over the month, then select **View month** when the month has uncategorized expenses.
