> ## Agent Instructions
> These docs describe Every as customers have it today. Answer from them, and say so when they don't cover a question.
> Pages under /admins/ are for the people who run Every for the company, and pages under /employees/ are for employees. Answer from the pages that match the person asking.
> Each page's Agent reference section lists its exact roles, conditions and limits. Prefer it for those details.
> When a page says a feature is in closed beta, or that Every turns it on company by company, don't promise that the person's company has it.
> Use roles and on-screen labels exactly as the pages write them.
> When someone asks what a term means, answer with the Glossary page's definition (/glossary), which other pages show in parentheses after the term.
> When the docs don't answer a question, tell the person to email [support@every.io](mailto:support@every.io).

# Payroll and people reports

> Open and export the payroll, people, benefits and time off reports, from Payroll Journal to PTO Liability

![Payroll journal with employee rows beneath a pay-date group and payroll amount columns.](https://mintcdn.com/every-a2724ddc/6k1svT9aHzVFwBZW/images/illustrations/admins-reports-payroll-reports-light.png?fit=max\&auto=format\&n=6k1svT9aHzVFwBZW\&q=85\&s=89035fc51b7c67a8fa16d0a1207fe125)

**Tools** → **Reports** opens **All Reports**, where the **Payroll**, **People**, **Benefits** and **Time Off** groups hold the reports on this page. After your company finishes onboarding, Company Admins and HR Admins can open every report here, and a Bookkeeper alone can open only **Payroll Journal**.

> [!NOTE]
>
> Every turns on **Terminations** and **Equity Grants** company by company. If you don't see them, email [support@every.io](mailto:support@every.io) to ask about them.

## When each report is listed

A report is listed only when your role can open it and your company meets its condition.

| Report | Your company needs |
| - | - |
| **Payroll Journal**, **Workers Comp Audit Report**, **Employee List**, **Dependents** and **Terminations** | Payroll turned on, plus finished payroll onboarding or at least one payroll run |
| **Equity Grants** | No other condition |
| **Financial Benefits** | Financial benefits turned on |
| **Time Off Balances** | Time Off turned on, plus at least one active time off policy |
| **PTO Liability** | Time Off turned on, plus at least one active time off policy that isn't unlimited |

## Payroll

| Report | What it shows |
| - | - |
| **Payroll Journal** | A row for each employee in each completed payroll run with a pay date in your period. Each row shows the run's payroll schedule and dates, totals such as **Gross Total** and **Net Pay**, and a column for each pay type, benefit, tax and post-tax deduction (Money taken from an employee's pay after taxes have been calculated and withheld) |
| **Workers Comp Audit Report** | Each employee's **Gross Wages**, **Employee Taxes** and **Employer Taxes** for an audit of workers' compensation (Insurance that pays an employee's medical costs and lost wages when they're hurt or fall ill because of work), with a column for each tax. Employees with no taxes in the period aren't listed |

Both reports have a date range picker, which starts on the last 6 months. **Workers Comp Audit Report** rounds your period out to whole months: it starts on the first day of the first month and ends on the last day of the last month. It leaves out employees marked international.

**Payroll Journal** groups its rows by **Payday**. Each group opens with a heading row that shows a pay period (The dates an employee's pay covers, such as two weeks or a calendar month) end date and the payday, above the group's employee rows.

![Payroll journal grouped by payday, with employee rows and pay-period columns beside Every's sidebar.](https://mintcdn.com/every-a2724ddc/lWATgPF1EqKKYfej/images/screens/admins-reports-payroll-reports-light.png?fit=max\&auto=format\&n=lWATgPF1EqKKYfej\&q=85\&s=b193f7ae575b0c7fee18484412f65881)

## People

| Report | What it shows |
| - | - |
| **Employee List** | A row for each employee, including people who have left (see **Status**). The report opens on a screen titled **Employees**. Some columns start hidden, such as **Manager**, **DOB** and **Residential address**; show them from **Display**. **SSN** is on by default |
| **Dependents** | A row for each dependent, with the employee's name and the dependent's name, sex, date of birth, relationship, marital status and address. A dependent without an address shows the employee's |
| **Terminations** | Employees whose termination date falls in your period, which starts as the past year. Each row shows the department, title, start and termination dates, tenure, termination type and termination reason |
| **Equity Grants** | Each stock grant with its shares, strike price (The fixed price per share paid to buy stock when exercising a stock option), start and end dates. The row also includes its cliff (The time someone must stay with a company before the first part of their equity vests). It shows the grant's progress in vesting (Earning full ownership of shares or options over time, as long as you stay with the company), with vested shares worked out for the day you open the report |

**Terminations** has a date range picker. **Employee List**, **Dependents** and **Equity Grants** don't.

![Employees report with names, departments, start dates, pay schedules and report controls.](https://mintcdn.com/every-a2724ddc/19nP2pdcB7HMtcYU/images/screens/admins-reports-payroll-reports-employees-light.png?fit=max\&auto=format\&n=19nP2pdcB7HMtcYU\&q=85\&s=125a422db7fab734d342b9e2a62a5daa)

## Benefits

**Financial Benefits** covers the current year and has no date range picker. Each row is a transaction, with the employee, benefit, date, direction, summary, amount and balance. The report appears once your company has [financial benefits](https://every-a2724ddc.mintlify.site/admins/benefits/other-benefits.md).

## Time Off

| Report | What it shows |
| - | - |
| **Time Off Balances** | For each employee and each active policy in your period, the **Accrued**, **Used**, **Adjustments** and **Remaining** hours. The period starts at the beginning of the year and ends today. The subtitle shows the date the balance is as of, and a **Totals** strip below the table adds up the rows left after your column filters |
| **PTO Liability** | What the remaining balances of PTO (Paid time off: time away from work, such as vacation or sick days, that an employee is paid for) are worth, as of a date. Each row multiplies an employee's **Remaining Balance** by their **Effective Hourly Rate** to give the **Liability Amount**. A summary above the table shows **Total PTO Liability**, **Total Balance**, **Employees** and **Policy Rows** |

Unlimited policies show **Unlimited** under **Accrued** and **Remaining** on **Time Off Balances**. The **Totals** strip leaves unlimited policies out of **Accrued** and **Remaining**, but **Used** and **Adjustments** still count them. **PTO Liability** doesn't include unlimited policies.

On **PTO Liability**, use the **As of** filter to pick the date. Select **Status** → **Include terminated** to add people who have left; they appear only with a balance above zero.

Every works out the hourly rate from each person's pay on the as-of date. An hourly amount is used as is. A yearly, monthly or weekly amount is converted over a 2,080-hour year.

A row shows a dash instead of a rate and amount when the employee has no pay on file or a fixed contractor amount. **Total PTO Liability** leaves those rows out, and a warning icon beside the total says how many.

If the rows left after your column filters are in more than one currency, "Multi-currency liability not yet supported" replaces the total. Filter by department or policy until the rows share one currency to bring it back.

![PTO liability with its balance summary, employee liabilities and as-of date beside Every's sidebar.](https://mintcdn.com/every-a2724ddc/lWATgPF1EqKKYfej/images/screens/admins-reports-payroll-reports-pto-light.png?fit=max\&auto=format\&n=lWATgPF1EqKKYfej\&q=85\&s=609d5f4c14c1ad7215878bc613aafa89)

## Export a report

Select **Export** to download the report as a CSV file.

The file holds every row the report returns for your period, and every column the report has, including columns you've hidden in **Display**. Search and column filters on screen don't change it. Two reports differ:

* **Time Off Balances** exports the rows left after your column filters, in the table's sort order. Search doesn't change it.
* **PTO Liability** follows **As of** and **Status**, but not the column filters such as department, policy, type or employee. The summary above the table does follow the column filters.

> [!WARNING]
>
> The **Employee List** file includes sensitive columns you've hidden, such as **DOB** and **Residential address**, and **SSN** is on by default. Share the file only with people who should see that information.

* On **Time Off Balances** in **Tools** → **Reports**, **Accrued** counts hours credited through payroll. **Used** counts hours debited by time off requests. **Adjustments** counts manual balance adjustments. **Remaining** is the balance at the end of the period.
* A **Totals** strip below the **Time Off Balances** table shows **Accrued**, **Used**, **Adjustments** and **Remaining** for the rows left after your column filters. Unlimited policies show **Unlimited** under **Accrued** and **Remaining**. The **Accrued** and **Remaining** totals add only rows that aren't unlimited, while the **Used** and **Adjustments** totals include every row.
* The **Time Off Balances** CSV from **Export** holds the rows left after your column filters, in the table's sort order. Search doesn't change the **Time Off Balances** CSV. The CSV keeps **Unlimited** under **Accrued** and **Remaining**, and replaces the **Employee** column with **Employee First Name** and **Employee Last Name**.
* The card for **PTO Liability** reads "The company's total accrued PTO liability in dollars, calculated as each employee's remaining balance multiplied by their effective hourly rate." The screen is titled **PTO liability**.
* **PTO Liability** has the **As of** filter, which starts as today, and the **Status** filter with the option **Include terminated**. Both change which rows the report returns. The subtitle shows the as-of date and notes when terminated employees are included.
* **PTO Liability** columns: **Employee**, **Department**, **Policy**, **Type**, **Remaining Balance**, **Effective Hourly Rate** and **Liability Amount**. **Remaining Balance** is in hours. Rows sort by **Liability Amount**, highest first.
* **PTO Liability** excludes unlimited policies. By default it includes employees who haven't left by the as-of date. With **Include terminated**, a terminated employee appears only with a balance above zero, and the row shows Terminated under the name.
* On **PTO Liability** in **Tools** → **Reports**, **Effective Hourly Rate** uses the compensation in effect on the as-of date. An hourly amount is used as is. A yearly amount is divided by 2080, a monthly amount is multiplied by 12 and then divided by 2080, and a weekly amount is multiplied by 52 and then divided by 2080. A fixed contractor amount has no rate. **Liability Amount** is **Remaining Balance** times **Effective Hourly Rate**.
* A **PTO Liability** row with no rate or amount shows a dash, with the hint "Compensation not on file as of the as-of date".
* A **PTO Liability** row's currency is the compensation's target currency, or USD when it has none. USD amounts show with a dollar sign. Other currencies show the currency code after the amount.
* The summary above the **PTO Liability** table shows **Total PTO Liability**, **Total Balance**, **Employees** and **Policy Rows**. It is worked out from the rows left after the column filters, such as department, policy, type and employee.
* **Total PTO Liability** on **PTO Liability** in **Tools** → **Reports** leaves out employees with no pay on file for the as-of date or a fixed contractor amount. A warning icon beside the total appears when rows are left out.
* When the **PTO Liability** rows left after filtering have more than one currency, **Multi-currency liability not yet supported** replaces the summary. It says to filter by department or policy to view liability for a single currency.
* **Export** on a report in **Tools** → **Reports** shows "Table was successfully exported." when the CSV downloads, "Failed to export table." when it doesn't, and "No data to export. The report is empty." when the report has no rows.
* The CSV from **Export** on a report in **Tools** → **Reports** builds from the report's own columns, so it includes columns hidden in **Display**.
* The CSV from **Export** holds the report's own rows. Search and column filters on screen don't change those rows, except that the **Time Off Balances** CSV uses the column filters and sort order.
* The **PTO Liability** CSV from **Export** follows **As of** and **Status** but not the column filters such as department, policy, type or employee. The CSV replaces the **Employee** column with **Employee First Name** and **Employee Last Name**, leaves out the terminated marker, and leaves an empty rate or amount as a blank cell.

### Questions people ask

* **Why can't I see Terminations, Equity Grants, Time Off Balances or PTO Liability?** Each report has its own condition. Every turns on **Terminations** and **Equity Grants** company by company, and **Terminations** also needs payroll turned on with a finished payroll onboarding or at least one payroll run. **Time Off Balances** and **PTO Liability** need Time Off turned on and an active time off policy, and **PTO Liability** needs a policy that isn't unlimited. To ask about a report, email [support@every.io](mailto:support@every.io).
* **Why can't I see Payroll Journal, Employee List or Dependents?** Payroll must be turned on for the company, with payroll onboarding finished or at least one payroll run. Your company must also have finished onboarding.
* **Can a Bookkeeper open the Employee List?** Not with the Bookkeeper role alone, which opens only **Payroll Journal** among the reports on this page.
* **Can an HR Admin (No Comp) open Reports?** Not with that role alone. **Tools** → **Reports** admits Company Admins, Bookkeepers and HR Admins, so a person with HR Admin (No Comp) can open **Reports** only when they also hold one of those roles.
* **Which payroll runs does Payroll Journal include?** Completed payroll runs with a pay date in the period you pick.
* **Does Payroll Journal include draft or submitted payroll runs?** No. **Payroll Journal** includes only completed payroll runs with a pay date in the period you pick, so check that the payroll run is completed and that its pay date falls in the period.
* **Does Workers Comp Audit Report use the exact dates I pick?** No. It starts on the first day of the first month and ends on the last day of the last month.
* **Does Employee List show social security numbers?** Yes. The **SSN** column on **Employee List** starts shown, and the report returns each employee's SSN.
* **Does the Employee List export include hidden columns?** Yes. The file includes every column the report has, such as **DOB** and **Residential address**, even when they're hidden in **Display**.
* **Does an export follow my search and filters?** No. Search and column filters don't change a report's file. **Time Off Balances** is the exception for column filters and sort order, not Search. **PTO Liability** follows **As of** and **Status**, but not the column filters.
* **Why are some PTO Liability rows left out of Total PTO Liability?** A row shows a dash and is left out of the total when the employee has no pay on file for the as-of date or a fixed contractor amount. The warning icon beside the total says how many rows are left out.
* **Why does PTO Liability show a multi-currency message instead of a total?** The rows left after your column filters are in more than one currency. Filter by department or policy until the rows share one currency, and the total returns.
* **Are unlimited policies in PTO Liability?** No. **PTO Liability** excludes unlimited policies.
* **How do I include people who have left in PTO Liability?** Select **Status** → **Include terminated**. A terminated employee appears only with a balance above zero.
* **Is Financial Benefits limited to a period?** Yes. **Financial Benefits** covers the current calendar year and has no date range picker.
