> ## Agent Instructions
> These docs describe Every as customers have it today. Answer from them, and say so when they don't cover a question.
> Pages under /admins/ are for the people who run Every for the company, and pages under /employees/ are for employees. Answer from the pages that match the person asking.
> Each page's Agent reference section lists its exact roles, conditions and limits. Prefer it for those details.
> When a page says a feature is in closed beta, or that Every turns it on company by company, don't promise that the person's company has it.
> Use roles and on-screen labels exactly as the pages write them.
> When someone asks what a term means, answer with the Glossary page's definition (/glossary), which other pages show in parentheses after the term.
> When the docs don't answer a question, tell the person to email [support@every.io](mailto:support@every.io).

# Views

> Open saved tables and charts of company data, build them with AI chat and share them with your company

Beta

Views is in closed beta. If you don’t see it, email [support@every.io](mailto:support@every.io).

[Open](mailto:support@every.io)

![Views gallery with personal and company-shared cards, an author menu and a sharing badge.](https://mintcdn.com/every-a2724ddc/6k1svT9aHzVFwBZW/images/illustrations/admins-reports-views-light.png?fit=max\&auto=format\&n=6k1svT9aHzVFwBZW\&q=85\&s=72a8663e62d124b963b38ac9071108d8)

**Tools** → **Views** lists the saved pages of company data that you and your colleagues have made. Each view is built from blocks: tables, bar, line, area and pie charts, stats, calendars and text.

Company Admins, Bookkeepers and HR Admins see **Views** in the sidebar after your company finishes onboarding.

## Find a view

**My views** holds the views you made, and **Shared with company** holds the ones colleagues shared. A group shows only when it has views, and the most recently updated view comes first.

Each card shows the view's title, its description if it has one and the date it was last updated. A **Shared** badge marks a view shared with your company, and a view you shared stays under **My views**. Select a card's title to open the view.

![Views with My views and Shared with company sections, saved cards and author actions beside Every's sidebar.](https://mintcdn.com/every-a2724ddc/lWATgPF1EqKKYfej/images/screens/admins-reports-views-light.png?fit=max\&auto=format\&n=lWATgPF1EqKKYfej\&q=85\&s=df230f41bb289988eaa2faab28d5babb)

## Rename a view

Only the person who made a view gets **Rename** on its card.

**1. Open the card's menu**

On **Views**, select the three-dot menu on the card of a view you made.

**2. Select Rename**

In the menu, select **Rename**. The **Rename view** dialog opens with the current name.

**3. Enter the new name**

In **Name**, enter the new name for the view.

**4. Save the name**

Select **Save**. Every confirms with "View renamed successfully".

## Delete a view

Only the person who made a view gets **Delete** on its card.

**1. Open the card's menu**

On **Views**, select the three-dot menu on the card of a view you made.

**2. Select Delete**

In the menu, select **Delete**. The **Delete this view?** dialog opens.

**3. Confirm the deletion**

In the dialog, select **Delete**. Every confirms with "View deleted successfully". Deleting a shared view removes it for everyone. For a private view, the dialog says "This action cannot be undone."

## Create a view

You build a view by asking AI chat. There is no manual editor. You see **New view** when AI chat is available to you and your company has the view builder.

**1. Start the view**

On **Views**, select **New view**. AI chat opens with "Create a view showing " in the message box.

**2. Describe what you want**

Finish the sentence with the data you want to see, such as headcount by department, and send it. AI chat builds only from the sources your role can read (see [What a view can show](#what-a-view-can-show)).

**3. Review the card**

AI chat replies with a **Create view** card that lists the view's title.

**4. Preview the draft**

Optional: select **Preview draft** to open **Draft preview**, which shows the view with your company's data and an **Unsaved draft** badge.

**5. Approve or reject**

On the card, select **Approve** to save the view, or **Reject** to decline it.

Until you approve, the draft doesn't appear under **My views**. An approved view is private to you. If the card says "This request has expired", ask AI chat to propose the view again.

## Open a view

A view's page shows its title, its description and its blocks. Tables, charts and stats load their data as you scroll to them.

In a table, select a column heading to sort. A table shows 10 rows at a time, so select **Load more** to see more.

![Team by department view with a headcount chart and matching department table beside Every's sidebar.](https://mintcdn.com/every-a2724ddc/lWATgPF1EqKKYfej/images/screens/admins-reports-views-detail-light.png?fit=max\&auto=format\&n=lWATgPF1EqKKYfej\&q=85\&s=5247379066cc18997a85928d35549ca0)

## Change a view

**1. Choose what to edit**

On a view you made, select **Edit** to change the whole view, or open a block's menu and select **Edit block** to change only that block.

**2. Describe the change**

AI chat opens with "Update this view to " or "Change this block to " in the message box. Finish the message and send it.

**3. Review the change**

Review the **Update view** card and select **Approve** or **Reject**. The saved view stays as it is until you approve the change.

**Edit** and **Edit block** need AI chat and the view builder, as **New view** does.

## Copy a block's rows

To include more table rows, select **Load more** before copying.

1. On a view you made, open the block's menu.
2. Select **Copy as Markdown**. Every confirms with "Copied as Markdown".

The copy holds only rows the block has loaded. **Copy as Markdown** stays off while a block has no data to copy and works whether or not AI chat is available.

## Share a view

To share a view you made with your company, you need the Company Admin, HR Admin or HR Admin (No Comp) role, so a Bookkeeper alone can't. A draft can't be shared until you approve it.

**1. Open sharing**

On the page of a view you made, select **Share**.

**2. Choose who can open it**

In the **Share view** dialog, choose **Only me** or **Everyone at my company**.

**3. Save the choice**

Select **Save**. Every confirms with "View shared with your company" or "View is now private".

Anyone with access to your company can open a view you share with everyone.

Colleagues see a shared view under **Shared with company**. They get no **Edit**, **Share**, **Rename** or **Delete** controls on it.

Sharing a view doesn't share the data behind it. Each block loads with the permissions of the person looking, so a colleague who can't read a block's data sees "No access" in that block.

![Share view dialog with Only me and Everyone at my company choices over a saved view.](https://mintcdn.com/every-a2724ddc/19nP2pdcB7HMtcYU/images/screens/admins-reports-views-share-light.png?fit=max\&auto=format\&n=19nP2pdcB7HMtcYU\&q=85\&s=fcad80c7d8e7bf9f30f25422c5061954)

## What a view can show

A block reads from one of these sources:

| Source | What it covers | Who can read it |
| - | - | - |
| People | Name, job title, department, status, start date and country | Company Admins and HR Admins |
| Holidays | The company's holiday calendars | Anyone in the company |
| Time off | Time off requests | Needs **Time Off**, which Every turns on company by company. Company Admins, HR Admins and HR Admins (No Comp) read the whole company. People managers can read the people who report to them, plus their own with an employee record. Employees can read their own rows |
| Time off and holidays | Time off and holidays on one calendar | Whoever can read time off |
| Financial metrics and financial months | Revenue, spend, cash and runway (How many months a company can keep operating at its current burn rate before its cash runs out) | Company Admins and Bookkeepers, when Every has turned financial data on for your company |

Payroll transactions aren't a source in Views.

## When something doesn't load

> [accordion] Why don't I see any views?
>
> There are no views you can open yet, so Every shows "No views yet".

> [accordion] Why won't my list of views load?
>
> The list failed to load. Refresh the page. Every shows "Couldn't load your views".

> [accordion] Why can't Every find this view?
>
> The view doesn't exist or was deleted, or you don't have access to it. Every shows "View not found".

> [accordion] Why can't a view be displayed?
>
> The view's definition is invalid. Ask the person who made it to fix or recreate it. Every shows "This view can't be displayed" or "View unavailable", and with "View unavailable" none of its blocks show.

> [accordion] Why won't a view load?
>
> The view failed to load. Refresh the page. Every shows "Couldn't load this view".

> [accordion] Why won't a draft load?
>
> The draft failed to load in **Draft preview**. Refresh the page. Every shows "Couldn't load this draft".

> [accordion] Why is a draft not available?
>
> The draft doesn't exist, has expired or has no valid definition. Every shows "Draft not available".

> [accordion] Why can't I see a block's data?
>
> You don't have permission to see that block's data. The block shows "No access".

## Agent reference

**Where:** **Tools** → **Views** in the sidebar. The screen is titled **Views**. A saved view opens at its own page from a card's title.

**Who:** Views is in closed beta. Company Admins, Bookkeepers and HR Admins use **Tools** → **Views** after company onboarding is complete and Every has turned Views on for the company. Anyone with access to the company can open a company-shared view. Each block shows only data that reader is allowed to access.

### Facts

* **Tools** → **Views** lists views in two groups: **My views**, for views the viewer made, and **Shared with company**, for views other people made and shared with the company.

* A view the viewer shared with the company stays under **My views** on **Tools** → **Views**, and its card shows a **Shared** badge.

* A group on **Tools** → **Views** shows only when it has views, and views are listed most recently updated first.

* A card on **Tools** → **Views** shows the view's title, its description only when it has one, a **Shared** badge when the view is shared with the company and "Updated" with a short date.

* Only approved views appear on **Tools** → **Views**. A draft made by AI chat before approval doesn't appear there and doesn't open as a saved view.

* A card's menu on **Tools** → **Views** offers **Rename** and **Delete** only to the person who made the view. The **Rename view** dialog has a **Name** field, **Cancel** and **Save**. Saving confirms with "View renamed successfully".

* The **Delete this view?** dialog on **Tools** → **Views** has **Cancel** and **Delete**. For a shared view it says "This view is shared with your company. Deleting it removes it for everyone." For a private view it warns that the action can't be undone.

* **Tools** → **Views** and a saved view's page open when AI chat is off. **Rename**, **Delete**, **Share** and **Copy as Markdown** don't depend on AI chat.

* A card's menu on **Tools** → **Views** is a three-dot button labeled "View actions for" and the view's title. **Rename** opens the **Rename view** dialog with the view's current name in **Name**. **Delete** opens the **Delete this view?** dialog, and **Delete** in that dialog confirms with "View deleted successfully".

* **New view** on **Tools** → **Views** needs AI chat to be available to the viewer and the view builder to be turned on for the company. The view builder is separate from viewing views, so a company can have Views without **New view**.

* **New view** opens AI chat with "Create a view showing " in the message box. Views have no manual editor.

* AI chat can't propose a view when Views or the view builder is off for the company.

* AI chat builds a view only from the data sources the person is allowed to use. When none is available, AI chat can't build a view.

* AI chat saves a new proposal as a private draft right away. The draft doesn't appear on **Tools** → **Views**.

* Rejecting a **Create view** card in AI chat removes its draft, with one exception. Asking AI chat to refine a draft rewrites the same draft and adds another approval card for it, so one draft can have several cards waiting. While another card for the same draft is still waiting for a decision, rejecting one card leaves the draft in place, so the other card can still be approved.

* Rejecting an **Update view** card in AI chat doesn't change the saved view, because that proposal leaves the saved view untouched until approval.

* The AI chat approval card is titled **Create view** for a new view and **Update view** for a change to a saved view. It lists the view's title and shows **Preview draft**, **Approve** and **Reject**. While approval applies, the card says "Applying…". After a rejection, it says "You declined this change."

* **Preview draft** opens **Draft preview**, titled with an **Unsaved draft** badge and "This view has not been saved yet." It renders the draft with live data like a saved view. **Draft preview** shows "Draft not available" when the draft doesn't exist, has expired or has no valid definition. It shows "Couldn't load this draft" with "Something went wrong loading this draft. Refresh the page to try again." when the draft itself fails to load.

* **Approve** turns the draft into an approved view. A newly approved view is private to its maker, and AI chat reports that it created the view.

* A proposed change to a saved view leaves the saved view untouched until **Approve**.

* A saved view's page shows a **Shared with company** badge when the view is shared, plus the view's title and description.

* **Edit** on a saved view needs AI chat, the view builder, a view the viewer made and a valid view definition. **Edit** opens AI chat with "Update this view to " in the message box. **Edit block** opens it with "Change this block to " and needs the same conditions.

* A block's menu on a saved view shows only to the person who made the view, and it holds **Edit block**, **Copy as Markdown** and **Remove block**. **Edit block** is off when AI chat or the view builder is unavailable. **Remove block** is off.

* **Copy as Markdown** copies only the rows a block has loaded. A table loads 10 rows at a time, with **Load more** for the rest. It stays off while the block is loading, empty or without access, and it confirms with "Copied as Markdown".

* Selecting a table column heading sorts the table.

* A block in a view is full, half or third width.

* **Share** on a saved view shows to the maker when the maker's role can share with the company, or when the view is already shared. The **Share view** dialog says "Choose who can open this view." and offers **Only me** ("Nobody else can open this view.") and **Everyone at my company** ("Anyone with access to your company can open this view."). It has **Cancel** and **Save**. Saving confirms with "View shared with your company" or "View is now private".

* Sharing a view with the company requires the view’s maker to hold Company Admin, HR Admin or HR Admin (No Comp). A Bookkeeper without one of those roles can’t share a view with the company. Sharing an unapproved draft shows "Approve this view before sharing it with your company". Views offer two sharing choices: private and the whole company.

* Only the person who made a view can rename it or change its content.

* Blocks load their data with the roles of the person looking, not the maker's. Sharing a view doesn't give a colleague the data behind it, and a block the colleague can't read shows "No access" with "You don't have permission to see this data."

* Views can read six sources: people, holidays, time off, time off and holidays together, financial metrics and financial months. Payroll transactions and the Payroll Journal aren't sources.

* Company Admins and HR Admins can use the people source. A viewer without access sees **No access**, with "You don't have permission to see this data." Its fields include Name, Job title, Department, Status, Start date and Country. Job title and Department can be grouped, and Views can count rows, so headcount by department is a count grouped by Department.

* The people source's Annual pay (USD) and Pay frequency fields are available only for companies where Every has turned them on.

* The holidays source is readable by anyone in the company.

* Time off in a view needs **Time Off**, which Every turns on company by company. This applies to company-wide data, data for people you manage and your own data.

* When **Time Off** is turned on for the company, a Company Admin, HR Admin or HR Admin (No Comp) gets time off rows for the whole company. People managers can read their reports' time off rows, directly or through other managers, plus their own rows when they have an employee record. Employees can read their own time off rows.

* The combined time off and holidays source follows the time off source's access and puts absences and holidays on one calendar.

* The financial sources need a Company Admin or Bookkeeper role, and Every must turn them on for the company. A viewer gets all financial data or none. Financial metrics gives one summary row with Monthly revenue, Monthly spend, Cash and Runway (months). Financial months gives up to 13 months with Revenue, Spend and Net profit. The figures are in US dollars and show no data when unavailable.

* A view whose definition is invalid shows "View unavailable" with "This view can't be displayed." in place of its blocks.

* The messages on **Tools** → **Views**, a saved view, **Draft preview** and a block for an empty or failed load are "No views yet", "Couldn't load your views", "View not found", "This view can't be displayed", "View unavailable", "Couldn't load this view", "Couldn't load this draft", "Draft not available", "No access", "Data unavailable", "Block unavailable" and "No data".

* When you can't build a view, the empty gallery on **Tools** → **Views** says that views shared with the company will appear there.

* A block on a view's page can be full, half or third width.

### Questions people ask

* **Who can see Views?** Company Admins, Bookkeepers and HR Admins see **Tools** → **Views** in the sidebar once the company finishes onboarding and Every has turned Views on.
* **Why don't I see New view?** **New view** on **Tools** → **Views** needs AI chat to be available to you and the view builder to be turned on for your company. Email [support@every.io](mailto:support@every.io) to ask about it.
* **Can I build a view by hand?** No. Views have no manual editor, and **New view** opens AI chat to compose the view.
* **Is a view saved before I approve it?** Yes, as a private draft. AI chat saves a new proposal as a draft right away, but the draft doesn't appear under **My views** on **Tools** → **Views** and can't be shared. **Approve** on the **Create view** card turns that draft into an approved view. **Reject** removes the draft, except that the draft stays while another approval card for the same draft is still waiting for a decision.
* **Who can edit my view?** Only the person who made it. **Tools** → **Views** and the view's page offer **Edit**, **Edit block**, **Rename**, **Delete** and **Share** to that person alone.
* **Who can share a view with the company?** The person who made the view, when they hold a Company Admin, HR Admin or HR Admin (No Comp) role. A Bookkeeper without one of those roles doesn't get **Share** on a private view.
* **Who can read time off in a view?** A Company Admin, HR Admin or HR Admin (No Comp) reads the whole company. People managers can read their reports' rows, plus their own when they have an employee record. Employees can read their own rows. All of them need **Time Off**, which Every turns on company by company.
* **Does sharing give my colleagues my data?** No. Each block loads with the roles of the person opening the view, so a colleague without access to a block's data sees "No access" in that block.
* **Why can't I build a headcount view as a Bookkeeper?** A Bookkeeper without a Company Admin or HR Admin role can't use the people source, which needs one of those roles.
* **Can I report on payroll transactions in Views?** No. Payroll transactions and the Payroll Journal aren't sources in Views.
* **Does Copy as Markdown copy the whole table?** No. It copies the rows the block has loaded, 10 at a time for a table.
* **Do views work when AI chat is off?** Partly. Opening views on **Tools** → **Views**, **Rename**, **Delete**, **Share** and **Copy as Markdown** work. **New view**, **Edit** and **Edit block** need AI chat.
* **Why do I see a view in My views that I shared?** **My views** lists every view you made. The **Shared** badge marks the ones shared with the company.
