> ## Agent Instructions
> These docs describe Every as customers have it today. Answer from them, and say so when they don't cover a question.
> Pages under /admins/ are for the people who run Every for the company, and pages under /employees/ are for employees. Answer from the pages that match the person asking.
> Each page's Agent reference section lists its exact roles, conditions and limits. Prefer it for those details.
> When a page says a feature is in closed beta, or that Every turns it on company by company, don't promise that the person's company has it.
> Use roles and on-screen labels exactly as the pages write them.
> When someone asks what a term means, answer with the Glossary page's definition (/glossary), which other pages show in parentheses after the term.
> When the docs don't answer a question, tell the person to email [support@every.io](mailto:support@every.io).

# Company information

> Update your company information, add or edit filing and mailing locations, and add, edit or delete departments and view the people in each.

**Settings** → **Company information**, **Settings** → **Locations** and **Settings** → **Departments** hold your company's details, addresses and departments. Company Admins and HR Admins can update all three; Bookkeepers can update the details and locations.

> [!NOTE]
>
> Every turns on QuickBooks department choices company by company. If the choices don't load, email [support@every.io](mailto:support@every.io) to ask about them.

## Update company information

**1. Open the company form**

Go to **Settings** → **Company information**.

**2. Update the details**

Update **Legal entity**, **DBA name**, **Company type**, **CEO** and **Phone number** as needed. All five are required. Your company's DBA (Doing business as: a name a company uses with customers that differs from its legal name) can have up to 50 characters.

**3. Save the changes**

Select **Save**. Every confirms that the company details were updated.

**FEIN** is read-only, so you can't change your company's FEIN (Employer Identification Number: the 9-digit number the IRS gives a business to identify it for taxes) on this page. The **CEO** list shows your company's current employees and its external users.

## Add or edit a location

**1. Open the location form**

On **Settings** → **Locations**, select **Add location**. To change an existing location, select its row instead.

**2. Enter the address**

Enter **Location name**, **Street**, **City** and **Zip code**. **Street 2** is optional.

**3. Choose the state**

In **State**, select the location's state.

**4. Optional: choose the filing address**

Turn on **Primary company address (including tax filings)** to make this your company's primary filing address.

**5. Optional: choose the mailing address**

Turn on **Do you want government agencies to use this address to contact you?** to make this your company's primary mailing address.

**6. Save the location**

Select **Save**. The form closes after the location is saved.

Choosing a new primary filing or mailing address replaces the previous choice. A location can serve both purposes. Locations used for neither appear as Office.

## Add a department

Company Admins and HR Admins can add, edit and delete departments.

Once your company starts connecting QuickBooks, even before the connection finishes, the form requires a **Quickbooks department**. An HR Admin role alone can't load its choices. While the field shows, an HR Admin role alone can't save a new department or an existing one with no QuickBooks class (A label in QuickBooks for tracking income and expenses by department, location or another part of a business).

**1. Open the department form**

On **Settings** → **Departments**, select **Add department**.

**2. Name the department**

Enter a **Department name**. The form rejects a name already used by another department, ignoring capitalization and surrounding spaces.

**3. Optional: select a parent**

In **Select parent department**, select a department to make this a sub-department.

**4. Select the QuickBooks class**

If **Quickbooks department** appears, select a QuickBooks class. Once QuickBooks is connected, Company Admins and Bookkeepers also see the choice under **Department mapping** in [Accounting settings](https://every-a2724ddc.mintlify.site/admins/settings/accounting.md).

**5. Save the department**

Select **Save**. Every confirms that the department was created.

## Edit a department or view its people

**1. Open the department**

In the department's menu on **Settings** → **Departments**, select **Edit department**.

**2. Change the details**

Update **Department name** or **Select parent department**. If **Quickbooks department** appears, you can change its QuickBooks class.

**3. Save the department**

Select **Save**. Every confirms that the department was updated.

Once your company's account is approved and payroll is turned on and set up, select **View employees** in the department's menu on **Settings** → **Departments**. [All People](https://every-a2724ddc.mintlify.site/admins/hr/overview.md) opens filtered to that department.

## Delete a department

> [!WARNING]
>
> Deleting a department can't be undone. Remove its employees from the department first.

1. In the department's menu on **Settings** → **Departments**, select **Delete department**.
2. In the confirmation dialog, select **Delete**.

## Agent reference

**Where:** **Settings** → **Company information**, **Settings** → **Locations** and **Settings** → **Departments**.

**Who:** Company Admins, Bookkeepers and HR Admins can open and update **Settings** → **Company information** and **Settings** → **Locations**. Company Admins and HR Admins can open **Settings** → **Departments**. While **Quickbooks department** is shown on **Settings** → **Departments**, an HR Admin role alone can't save a new department or an existing department without a QuickBooks class.

### Facts

* **Legal entity**, **DBA name**, **Company type**, **CEO** and **Phone number** are required on **Settings** → **Company information**. **DBA name** is limited to 50 characters.
* **FEIN** is disabled on **Settings** → **Company information**. Saving company details keeps the existing FEIN.
* The **CEO** choices on **Settings** → **Company information** combine the company's current employees and external users. The list leaves out employees whose employment has ended, and inactive employees who haven't been reactivated.
* A successful **Save** on **Settings** → **Company information** shows “Company details updated”.
* **Settings** → **Locations** shows the company's location names and addresses. Location badges are **Office**, **Primary Filing**, **Primary Mailing** and **Primary Filing & Primary Mailing**.
* **Add location** on **Settings** → **Locations** opens **New location**. Selecting a location row or its **Edit location** menu action opens **Edit location**.
* The location form on **Settings** → **Locations** requires **Location name**, **Street**, **City**, **State** and **Zip code**. **Street 2** is optional.
* **Primary company address (including tax filings)** on **Settings** → **Locations** sets the primary filing location. **Do you want government agencies to use this address to contact you?** sets the primary mailing location.
* Saving a primary filing or primary mailing choice on **Settings** → **Locations** clears that primary choice from the previous location. One location can be both the primary filing and primary mailing address.
* **Save** in the location form closes the form after success. **Settings** → **Locations** confirms “Location created” or “Location updated”.
* **Settings** → **Departments** shows department names, parent department names and assigned people counts. A department with a parent is marked **Sub-department**.
* **Add department** on **Settings** → **Departments** opens **Add new department**. Selecting a department row or **Edit department** opens the department's edit form.

* **Select parent department** on **Settings** → **Departments** is optional. Selecting a parent saves a sub-department relationship.
* The department form on **Settings** → **Departments** shows and requires **Quickbooks department** once the company has started connecting QuickBooks, even if the connection isn't finished. The choices are active QuickBooks classes.
* Every turns on **Quickbooks department** choices on **Settings** → **Departments** company by company. While the field is shown, an HR Admin role alone can't load the choices, save a new department or save an existing department without a QuickBooks class.
* **Quickbooks department** on **Settings** → **Departments** and **Department mapping** on **Settings** → **Accounting** save the same department-to-QuickBooks-class mapping. **Department mapping** appears only once QuickBooks is connected, and Company Admins and Bookkeepers can open **Settings** → **Accounting**.
* **Save** on **Settings** → **Departments** creates or updates the department. A successful save closes the department form and confirms creation or update.
* **View employees** in a department's menu on **Settings** → **Departments** opens [All People](https://every-a2724ddc.mintlify.site/admins/hr/overview.md) filtered to that department once the company's account is approved and payroll is turned on and set up.
* **Delete department** on **Settings** → **Departments** opens a confirmation dialog. **Delete** removes the department. The dialog says deletion is permanent and asks that employees be removed first.
