> ## Agent Instructions
> These docs describe Every as customers have it today. Answer from them, and say so when they don't cover a question.
> Pages under /admins/ are for the people who run Every for the company, and pages under /employees/ are for employees. Answer from the pages that match the person asking.
> Each page's Agent reference section lists its exact roles, conditions and limits. Prefer it for those details.
> When a page says a feature is in closed beta, or that Every turns it on company by company, don't promise that the person's company has it.
> Use roles and on-screen labels exactly as the pages write them.
> When someone asks what a term means, answer with the Glossary page's definition (/glossary), which other pages show in parentheses after the term.
> When the docs don't answer a question, tell the person to email [support@every.io](mailto:support@every.io).

> Add administrators, change permissions and remove administrator access

On **Settings** → **Administrators**, Company Admins add administrators and manage their permissions.

> [!NOTE]
>
> Every turns on the Accounts Payable permission company by company. If you don't see it, email [support@every.io](mailto:support@every.io) to ask about it.

## Add someone already at your company

**1. Open the existing person form**

On **Settings** → **Administrators**, select **Add new** → **Existing every user**.

**2. Choose the person**

In **Choose a person**, select the person who needs access.

**3. Choose the roles**

Under **Permissions**, turn on at least one role.

**4. Save the roles**

Select **Save**. The form closes and the list reloads with the person's roles.

**Choose a person** leaves out people already listed on **Administrators**. In their menu, select **Edit permissions** to change their roles.

## Add someone from outside your company

An **External 3rd party user** joins your company as an external user, without becoming an employee.

**1. Open the external person form**

On **Settings** → **Administrators**, select **Add new** → **External 3rd party user**.

**2. Enter the person's details**

Enter their **First name**, **Last name** and **Work email**. Both names and a valid email address are required.

**3. Choose the roles**

Under **Permissions**, turn on at least one role.

**4. Save the person**

Select **Save**. The form closes after the person and permissions are saved.

**Add admin** rejects an external person's email if it is already linked to a company in Every:

* “This user already exists” means the person already belongs to your company.
* “This email already belongs to another company on Every. Contact support to add them.” means the email belongs to a different company. Email [support@every.io](mailto:support@every.io) to ask about adding them.

## Change permissions

Review the selected permissions before saving your changes.

**1. Open the permissions form**

In the person's menu on **Settings** → **Administrators**, select **Edit permissions**.

**2. Set the roles**

Under **Permissions**, turn on the roles to keep and turn off the roles to remove. At least one must remain on.

**3. Save the selection**

Select **Save**. The list reloads with the saved roles.

Your own row has no actions menu. Another Company Admin can use your row's menu to change your roles or remove administrator access.

## Remove administrator access

Removing an external user removes all their company roles and external user access, even if they're also an employee. For anyone else, removal keeps an assigned Employee role and deletes their other company roles.

> [!WARNING]
>
> Removing an administrator deletes their pending cards and tries to freeze their issued cards held with Every's banking provider, but doesn't confirm each freeze. Afterward, check their cards on [Company cards](https://every-a2724ddc.mintlify.site/admins/banking/cards.md).

1. In the person's menu on **Settings** → **Administrators**, select **Remove administrator**.
2. In **Remove Administrator**, select **Remove** to confirm.

## Roles

Each switch under **Permissions** in the **Add admin** and **Edit admin** forms is a role, and a person can hold more than one:

| Role | What it covers |
| - | - |
| **Employee** | The person's own information and cards |
| **Bookkeeper** | Bank accounts, debit cards and payments |
| **Company Admin** | Administrators and their roles, and full access to all areas |
| **HR Admin** | Employee information, including compensation |
| **Accounts Payable** | Bills, vendors and 1099 (A family of IRS forms that report income other than wages, such as payments to contractors) tasks |

## Agent reference

**Where:** **Settings** → **Administrators**.

**Who:** Only Company Admins can open **Settings** → **Administrators** and add or remove company roles through this page.

### Facts

* **Settings** → **Administrators** shows each person under **Name** and their permissions under **Permissions**.
* The assignable switches under **Permissions** on **Settings** → **Administrators** are **Employee**, **Bookkeeper**, **Company Admin**, **HR Admin** and **Accounts Payable**. Every turns on the **Accounts Payable** option company by company.
* **Employee** on **Settings** → **Administrators** is for the person's own information and cards. **Bookkeeper** covers bank accounts, debit cards and payments. **Company Admin** covers administrators and their roles, and has full access to all areas. **HR Admin** covers employee information including compensation. **Accounts Payable** covers bills, vendors and 1099 tasks.
* **Add new** → **Existing every user** on **Settings** → **Administrators** opens the existing-person form. **Choose a person** requires a selection. People already shown in the administrator list are omitted from the add picker.
* **Add new** → **External 3rd party user** on **Settings** → **Administrators** requires **First name**, **Last name** and a valid **Work email**. Adding an **External 3rd party user** on **Settings** → **Administrators** adds the person as an external user of the company without making them an employee.
* The external form on **Settings** → **Administrators** rejects an email already associated with the same company. The **Work email** error is “This user already exists”.
* The external form on **Settings** → **Administrators** rejects an email with membership in another company. The error is “This email already belongs to another company on Every. Contact support to add them.” To ask about adding the person, email [support@every.io](mailto:support@every.io).
* **Save** in the add or edit form on **Settings** → **Administrators** requires at least one role. A person can hold several selected roles.
* On **Settings** → **Administrators**, review the selected permissions before saving your changes.
* A successful **Save** on **Settings** → **Administrators** closes the form and reloads the administrator list. An external user can appear in the administrator list with only the Employee role.
* The current user's own row on **Settings** → **Administrators** has no actions menu. Other rows offer **Edit permissions** and **Remove administrator**.
* **Edit permissions** on **Settings** → **Administrators** opens **Edit admin**. Change the switches under **Permissions**, then select **Save**.
* **Remove administrator** on **Settings** → **Administrators** opens **Remove Administrator**. Selecting **Remove** confirms the removal.
* Removing an administrator who is not an external user on **Settings** → **Administrators** retains an assigned Employee role and removes the other company roles.
* Removing an external user on **Settings** → **Administrators** removes all company roles and external user access, even when the person is also an employee.
* Administrator removal on **Settings** → **Administrators** deletes the person's pending company cards and attempts to freeze issued cards held with Every's banking provider. A successful removal doesn't guarantee that each card froze.

### Questions people ask

* **Can I give someone more than one role?** Yes. Turn on the needed switches under **Permissions** on **Settings** → **Administrators** and select **Save**.
* **Why is someone missing from Choose a person?** People already listed as administrators are omitted from the add picker on **Settings** → **Administrators**. In that person's menu on **Settings** → **Administrators**, select **Edit permissions** to change their roles.
* **Why does the external form reject an email?** The external form on **Settings** → **Administrators** rejects emails already belonging to your company or another company in Every. Email [support@every.io](mailto:support@every.io) for help adding the person.
* **How should I review permission changes?** Review the selected permissions before saving your changes.
* **Why is there no menu beside my name?** **Settings** → **Administrators** hides the actions menu on your own row, so you can't change your own roles there. Another Company Admin can use your row's menu on **Settings** → **Administrators** to change your roles or remove administrator access.
* **Does removing an administrator guarantee the person's cards are frozen?** No. Administrator removal on **Settings** → **Administrators** attempts to freeze issued cards, but completing removal doesn't confirm that each card froze. Review the person's [Company cards](https://every-a2724ddc.mintlify.site/admins/banking/cards.md).
