> ## Agent Instructions
> These docs describe Every as customers have it today. Answer from them, and say so when they don't cover a question.
> Pages under /admins/ are for the people who run Every for the company, and pages under /employees/ are for employees. Answer from the pages that match the person asking.
> Each page's Agent reference section lists its exact roles, conditions and limits. Prefer it for those details.
> When a page says a feature is in closed beta, or that Every turns it on company by company, don't promise that the person's company has it.
> Use roles and on-screen labels exactly as the pages write them.
> When someone asks what a term means, answer with the Glossary page's definition (/glossary), which other pages show in parentheses after the term.
> When the docs don't answer a question, tell the person to email [support@every.io](mailto:support@every.io).

# Timesheets

> Review and edit your team's hours, and approve timesheets before payroll

![Timesheets table with two employee rows grouped beneath a payroll cycle.](https://mintcdn.com/every-a2724ddc/6k1svT9aHzVFwBZW/images/illustrations/admins-time-overview-light.png?fit=max\&auto=format\&n=6k1svT9aHzVFwBZW\&q=85\&s=509f88c38e36d94b38781e0100df2421)

**Time** → **Timesheets** groups your team's logged hours by payroll cycle (The dates an employee's pay covers, such as two weeks or a calendar month).

Company Admins and HR Admins can use it after your company enables payroll and finishes company and payroll onboarding. Employees submit their own hours from [Home to-dos](https://every-a2724ddc.mintlify.site/employees/home.md#to-dos).

> [!NOTE]
>
> If you don't see the approval controls or **Settings** → **Timesheets**, email [support@every.io](mailto:support@every.io) to ask about access.

## Review your team's hours

The list shows each person's name, payroll cycle dates, description and hours. Daily entries are totaled by person and job for the payroll cycle. Select a row to open the time behind it.

Filter by **People**, **Payroll cycle**, **Department**, **Position** or **Location**. To see earlier payrolls, select **Display** and turn on **Include completed cycles**.

## Add or correct time

You can add, edit or delete entries while their payroll cycle is a draft.

People log time as daily entries or one total per payroll cycle. Select a person's row to open the matching sheet.

### Daily entries

The daily summary sheet includes the person's entries across jobs for that payroll cycle.

![A daily summary sheet showing dates, jobs, descriptions, time and Add new entry.](https://mintcdn.com/every-a2724ddc/lWATgPF1EqKKYfej/images/screens/admins-time-overview-daily-light.png?fit=max\&auto=format\&n=lWATgPF1EqKKYfej\&q=85\&s=85b9f3690125f4dabf33d9f1aa8c1151)

To add time:

**1. Add an entry**

Select **Add new entry**.

**2. Choose the day**

In **Date**, choose the day worked.

**3. Choose the job**

In **Select job**, choose the job.

**4. Enter the time**

Enter **Hours**, **Minutes** and a **Description** of the work.

**5. Save the entry**

Select **Save**.

![Add new time entry with date, job, hours, minutes, description and Save.](https://mintcdn.com/every-a2724ddc/19nP2pdcB7HMtcYU/images/screens/admins-time-overview-add-entry-light.png?fit=max\&auto=format\&n=19nP2pdcB7HMtcYU\&q=85\&s=2deb162ca55b393586fc7749f07ce51e)

The date must fall within the payroll cycle, on or after the person's hire date and no later than today. You can add entries once the cycle starts.

To correct an entry in the daily summary sheet:

1. Open the entry's row menu and select **Edit**.
2. Change the entry, then select **Save**.

### Single entries

The single-entry sheet edits the total for that payroll cycle.

1. In the sheet, change the job in **Select job**, or the **Hours**, **Minutes** or **Description**. When **Select project** appears, choose a project too.
2. Select **Save**.

## Delete time

1. On the main list, open the row's menu and select **Delete**.
2. In the confirmation, select **Delete**.

> [!WARNING]
>
> Deleting a daily summary row removes all entries for that person and job in the payroll cycle. Deletion can't be undone. To remove one daily entry, open the daily summary sheet and use that entry's **Delete** instead.

## Approve timesheets

The approval policy must be on before you can approve pending time. To change it, see [Set the approval policy](#set-the-approval-policy).

1. On the **Needs approval** tab, select the rows to approve.
2. In the action bar, select **Approve**.

You can also open a row and select **Approve**. In a daily summary sheet, this approves all pending entries shown for the person and payroll cycle, including their other jobs.

| Status | What it means |
| - | - |
| Needs approval | A time entry is waiting for approval |
| Submitted | The entry is neither waiting for approval nor approved, and the payroll cycle isn't complete |
| Approved | The entry is approved, and the payroll cycle isn't complete |
| Paid | The payroll cycle is complete |

A daily summary row shows Needs approval while any entry in that row is waiting.

### Set the approval policy

Company Admins and HR Admins set the policy in **Settings** after your company finishes onboarding:

**1. Open the policy**

Go to **Settings** → **Timesheets**, then under **Policies**, select **Approvals**.

**2. Choose the policy**

Choose **Enable approvals** or **Disable approvals**.

**3. Save the policy**

Select **Save**.

## Agent reference

**Where:** **Time** → **Timesheets**. The timesheet approval policy is at **Settings** → **Timesheets** → **Approvals**, under **Policies**.

**Who:** Company Admins and HR Admins after payroll is enabled and company and payroll onboarding are complete. Bookkeepers, Accounts Payable users, Employees and Contractors can't open **Time** → **Timesheets** with those roles alone.

### Facts

* **Time** → **Timesheets** groups entries by payroll cycle by default. The list columns include **Name**, **Date**, **Description** and **Hours**.
* A daily summary row on **Time** → **Timesheets** totals entries for one person, job and payroll cycle. Separate jobs have separate summary rows.
* **Time** → **Timesheets** filters include **People**, **Payroll cycle**, **Department**, **Position** and **Location**.
* Completed payroll cycles are excluded from **Time** → **Timesheets** until **Display** → **Include completed cycles** is turned on.
* On **Time** → **Timesheets**, selecting the row of a person who logs daily entries opens the daily summary sheet.
* On **Time** → **Timesheets**, selecting the row of a person who logs one total per payroll cycle opens the single-entry sheet.
* On **Time** → **Timesheets**, selecting a daily summary row opens the daily summary sheet with all the person's entries for that payroll cycle, including other jobs.
* On **Time** → **Timesheets**, **Add new entry** in the daily summary sheet requires a started draft payroll cycle. The form has **Date**, **Select job**, **Hours**, **Minutes** and **Description**, followed by **Save**.
* A daily time entry on **Time** → **Timesheets** requires a job and work description. Enter whole hours and minutes, at least 1 minute total and no more than 24 hours. Minutes range from 0 to 59.
* A daily time entry on **Time** → **Timesheets** must be within the payroll cycle, on or after the person's hire date and no later than today.
* A single-entry row on **Time** → **Timesheets** opens **Select job**, **Hours**, **Minutes** and **Description**. **Select project** is required when it appears.
* A single time entry on **Time** → **Timesheets** requires at least 1 minute and a work description. The maximum is 24 hours for each day in the payroll cycle. Minutes range from 0 to 59.
* On **Time** → **Timesheets**, Company Admins and HR Admins can add, edit or delete another person's time entries while the payroll cycle is a draft. A payroll that isn't a draft blocks these changes.
* On **Time** → **Timesheets**, deleting a daily summary row deletes all the person's entries for that job and payroll cycle. Deleting an entry inside the daily summary sheet removes that entry. Neither deletion can be undone.
* On **Time** → **Timesheets**, the approval policy must be on for the **All entries** and **Needs approval** tabs, **Status** column and approval actions. A Company Admin or HR Admin who doesn't see the approval tabs or controls on **Time** → **Timesheets** can email [support@every.io](mailto:support@every.io) to ask about access.
* Company Admins and HR Admins can approve on **Time** → **Timesheets**. Only rows needing approval can be selected for bulk approval. A bulk approval on **Time** → **Timesheets** approves only the underlying entries still pending.
* **Approve** inside a daily summary sheet on **Time** → **Timesheets** targets all pending entries shown for the person and payroll cycle, including other jobs.
* A bulk approval on **Time** → **Timesheets** can approve some entries and fail for others. The page reports approved entries and failures separately.
* On **Time** → **Timesheets**, Needs approval means the entry is waiting for approval. Approved means the entry is approved and the payroll cycle isn't complete. Paid means the payroll cycle is complete.
* On **Time** → **Timesheets**, Submitted means the entry is neither waiting for approval nor approved, and the payroll cycle isn't complete. A daily summary row shows Needs approval while any underlying entry is pending.
* On **Time** → **Timesheets**, an employee's edit to their own approved entry resets approval to pending. A Company Admin or HR Admin editing another person's entry does not reset approval.
* Company Admins and HR Admins set the timesheet approval policy in **Settings** → **Timesheets** → **Approvals**: choose **Enable approvals** or **Disable approvals**, then select **Save**.
* The **Timesheets** item in **Settings** is under **Features**, which appears after the company finishes onboarding. A Company Admin or HR Admin who doesn't see **Timesheets** in **Settings** can email [support@every.io](mailto:support@every.io) to ask about access.
* Employees submit their own timesheets from the **Submit your timesheets** to-do on **Home**. See [Home to-dos](https://every-a2724ddc.mintlify.site/employees/home.md#to-dos).

### Questions people ask

* **Why can't I edit a time entry on Timesheets?** On **Time** → **Timesheets**, the payroll cycle must be a draft for Company Admins and HR Admins to edit other people's entries.
* **Why can't I add a future date?** The daily time-entry form on **Time** → **Timesheets** accepts dates no later than today, within the payroll cycle and on or after the hire date.
* **Does deleting a daily summary row delete one day?** No. On **Time** → **Timesheets**, deleting the daily summary row removes all entries for that person and job in that payroll cycle. Open the daily summary sheet to delete one entry.
* **Does an employee's edit keep an approved entry approved?** No. On **Time** → **Timesheets**, an employee's edit to their own approved entry resets approval to pending.
* **Does approval inside a daily summary sheet cover only the job on the row I opened?** No. On **Time** → **Timesheets**, the daily summary sheet contains the person's entries across jobs for the payroll cycle and **Approve** targets all pending entries shown.
